Job OverviewWe are seeking a dedicated, highly organized, and empathetic Compliance Administrator to join our team full-time and in person. Our organization is proud to provide vital services and support for individuals with disabilities. In this role, you will be the backbone of our administrative and regulatory health—seamlessly blending front-desk coordination with essential compliance tracking.
This position requires a professional who thrives in a fast-paced environment, can naturally handle multiple responsibilities at once, and enjoys working closely within a collaborative team. Because you will be directly managing sensitive records and interacting with the individuals we serve, their families, and our staff, the ability to protect critical information with absolute accuracy and confidentiality—combined with a warm, patient "bedside manner"—is essential.
Key Responsibilities- Critical Information Management: Handle, audit, and maintain highly sensitive data, including confidential participant records, care plans, and regulatory filings, ensuring total accuracy and zero data leaks.
- Compliance Administration: Support the management of compliance records, documentation tracking, and files related to strict state and federal disability service standards.
- Front Desk & Reception: Serve as the welcoming face and voice of our organization. Greet visitors and manage phone communications with a high level of professionalism, warmth, and care.
- Multi-Tasking & Organization: Efficiently balance simultaneous responsibilities, such as answering phones, assisting walk-ins, and handling data entry, without losing focus.
- Calendar & Meeting Coordination: Manage complex calendars, efficiently scheduling and coordinating meetings for the team.
- Data Entry & Documentation: Accurately input, update, and organize data across digital systems using Google Suite.
- Information Security & Accuracy:
- Strong ability to process critical, high-stakes information with extreme attention to detail.
- High level of integrity and discretion when handling private medical, personal, or legal documentation (HIPAA guidelines).
- Interpersonal & Professional Traits:
- Excellent "Bedside Manner": Compassionate, patient, respectful, and deeply empathetic when interacting with individuals with disabilities and their support networks.
- Team Player: Highly collaborative, flexible, and ready to support colleagues to ensure smooth operations.
- Strong Multitasking: Proven ability to handle multiple tasks at once and prioritize effectively under pressure.
- Technical Proficiency: Skilled in data entry with a high level of accuracy, proficient typing skills, and strong familiarity with Google Suite (Docs, Sheets, Drive).
- Communication & Etiquette: Excellent phone etiquette and polished verbal/written communication skills.
- Experience & Preferences:
- Experience as a receptionist or in a similar front-desk role is preferred.
- Experience in disability service management is highly preferred.
- 2 years of experience working with people with disabilities is preferred.

- Work Location: In person
- Schedule: Monday to Friday, 8:00 AM – 4:00 PM or 9:00 AM – 5:00 PM
- Wage: To be negotiated (Based on experience)

- Must be at least 18 years of age
