Key ResponsibilitiesThe Utah Schools for the Deaf and the Blind (USDB) invites you to consider an enjoyable and gratifying employment opportunity with our school. We are looking for a knowledgeable and responsible person to fill the position of Office Specialist. This position is located in Ogden.
Principal DutiesAs an Office Specialist I you will:
- Be the first point of contact to visitors and ensure that only authorized people are allowed into the building to maintain our Safe School policy.
- Receive calls and/or greet visitors, take and relay messages, respond to requests for information; provide information or direct caller/visitor to appropriate individual.
- Type and prepare reports or other written materials from source documents, transcription, etc.
- Prepare and/or process documents, review for accuracy and completeness; update information and/or evaluate against policy; compare elements for consistency or logical relationships, etc.
- Maintain and/or create files or record keeping systems. Sort, label, file and retrieve documents, or other materials.
- Verify data entry by comparing the source document against the input data, utilizing an automated verification system, and using dual entry or other verification techniques.
- Copy and collate documents, send faxes and perform similar office tasks.
- Review data, records, and files for details and accuracy.
- Enter data into a computer system and retrieve, correct, or delete previously entered data.
- Assist with duties as assigned as a member of the Business Office Team.
The Ideal Candidate
- Practical skills in providing general clerical production and support services.
- Practical skills in general office procedures and practices and in the use of general office equipment.
- Broad computer skills and knowledge of various computer software programs including Microsoft Office Suite (Word, PowerPoint, Excel, etc.)
- Ability to assemble, sort, and/or distribute documents, supplies, and/or materials/items.
- Practical skill in preparing or reviewing data on forms, written communications, etc.
- Review and/or edit documents for accuracy and completeness including grammar, spelling and punctuation.
- Communicate clearly and effectively; follow written and/or verbal instructions.
- Deal with people in a manner which shows sensitivity, tact, and professionalism, maintain strict confidentiality.
- Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
- Typically the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc. Special physical demands are not required to perform the work.
- Successful completion of a criminal background check.
- This is a full-time, year-round position.
