ABOUT

THE ROLE

The Licensing & Partnerships Coordinator runs the operational side of Hydro Jug's partnerships and licensing programs. You own the tracker, triage inbound inquiries, coordinate PR seeding logistics end-to‑end, and maintain the communication cadence that keeps partners engaged and informed. You also support event coordination and keep the contract and agreement admin organized.

This role exists so Samantha Birrell (Partnerships & Events Manager) can stay focused on tier‑1 relationship development, brand collaboration proposals, and strategic partner conversations — not logistics, inbox management, and tracker maintenance. You handle the operating layer so she can build at the strategic level.

RESPONSIBILITIES
  • Partnership + licensing tracker maintenance — The single source of truth for all active, in‑progress, and prospective partnerships and licensing agreements. You keep it current, accurate, and actionable.
  • Inbound licensing inquiry triage — First contact and screening for inbound licensing requests. You gather the right information, apply the initial filter, and route qualified leads to Samantha with a clean brief.
  • PR seeding logistics — End‑to‑end coordination of seeding kits: product selection support, kit assembly coordination, shipping management, tracking confirmation, and follow‑up logging
  • Partner communication cadence — Routine touchpoints with active partners: check‑ins, fulfillment confirmations, feedback collection, thank‑you sequences
  • Event coordination support — Logistics support for brand events and partnership activations; working with Samantha on pre‑event and on‑site coordination needs
  • Contract + agreement admin tracking — Maintaining a clear log of all agreements, renewal dates, deliverable timelines, and compliance checkpoints; flagging anything that needs Samantha's or legal's attention
SUCCESS CRITERIA

30 days:
The partnership and licensing tracker is audited, current, and trusted. You've handled every inbound licensing inquiry that came in, routing qualified leads to Samantha with a clear summary. You've shipped at least one round of seeding kits without anything falling through.

60 days:
Partner communication cadence is running on a consistent rhythm and partners are getting timely responses. The contract/agreement log is clean and you know what's coming up for renewal in the next 90 days. Samantha is spending less time on logistics and more time on strategic conversations.

90 days:
You're proactively flagging risks — a contract renewal coming up, a partner who's gone quiet, a seeding kit that didn't land right — before they become problems. You're Samantha's institutional memory for the operational side of partnerships, and she trusts the tracker without having to double-check it.

REPORTING & ORGANIZATION
  • Samantha Birrell, Partnerships & Events Manager — Your direct manager and strategic lead. You execute and support; she directs and leads relationships.
  • Mckenzie Jenaway, Retention & Owned Marketing Manager — Centralized Copy Approver for any written communications that go external. AI generates first‑draft copy;
    Mckenzie approves; you execute.
  • Warehouse / Fulfillment team — Coordinating seeding kit assembly and shipping logistics
  • Finance / Legal — Contract routing and agreement tracking support
QUALIFICATIONS
  • 1–3 years of experience in partnerships, licensing, brand marketing ops, PR, or a similar coordination‑heavy role
  • Strong organizational instincts — you keep trackers current without being asked, and you notice when something's missing before it becomes a problem
  • Clear written communication — you can write a partner check‑in email that sounds like a real human, not a template
  • Experience managing inbound inquiry queues and knowing how to triage, qualify, and route
  • Familiarity with logistics coordination (shipping, tracking, fulfillment) — ideally product or PR seeding experience
  • Comfortable managing contracts and agreement admin at a coordination level (not legal, but organized and deadline‑aware)
  • Utah‑based or willing to relocate
