The Project Coordinator is a versatile role responsible for supporting branch operations through project coordination, customer service, and administrative functions. This position serves as a key liaison between customers, field operations, and branch leadership by coordinating projects and resources, preparing estimates and bid packages, maintaining office operations, and supporting scheduling and financial activities. It contributes to the successful planning, execution, and completion of projects while ensuring exceptional customer service, operational efficiency, and profitability.
This position reports directly to the Operations Manager.
Project Coordination & Customer Service
- Analyze customer requirements and coordinate equipment, personnel, and project resources.
- Schedule crews and equipment using the most efficient and cost-effective methods.
- Plan, coordinate, and monitor projects to ensure timely completion.
- Establish and maintain positive relationships with internal and external customers.
- Provide guidance regarding project requirements, traffic control operations, and equipment capabilities.
- Coordinate equipment transfers between branches as needed to meet operational demands.
- Ensure the accuracy of project documentation through research, reconciliation, and resolution of discrepancies.
- Monitor project schedules and reporting to ensure deadlines are achieved.
Bid Administration
- Review construction plans and specifications to determine project scope and construction methods.
- Attend pre-bid meetings and perform local or regional site visits as required.
- Assemble complete bid packages and obtain required approvals prior to submission.
- Evaluate external factors that may impact project pricing, scheduling, or profitability.
- Support the Estimator throughout the bidding process.
Administrative & Office Operations
- Set up jobs within company systems and schedule work tickets for field personnel.
- Review work tickets to ensure all required documentation, photos, signatures, and billing information are complete.
- Maintain filing systems, records, and general office organization.
- Prepare correspondence, reports, and operational documentation.
- Coordinate company cell phone inventory, including setup, activation, and troubleshooting for employees.
- Provide backup support for onboarding and new hire orientation activities.
- Maintain accurate project, operational, and financial records.
- Perform additional administrative and operational duties as assigned.
General Responsibilities
- Follow all company safety policies, procedures, and regulations.
- Ensure compliance with company policies and operational standards.
- Collaborate with branch leadership, estimating, operations, and field personnel to support business objectives.
- Perform other duties as assigned to support branch operations.
