Position Summary

The Estimation Assistant is a key support role responsible for managing the front-end estimating workflow for commercial and industrial HVAC projects. This position supports bid intake, document organization, quantity takeoffs, and proposal coordination while working directly with senior estimators and operations leadership.

This is a high-impact role in a fast-paced environment, ideal for someone looking to build a career in mechanical construction estimating.

Key Responsibilities

Bid Intake & Organization

• Source and track project opportunities from bid platforms and direct invites
• Review bid documents for scope relevance
• Create and maintain organized digital bid folders
• Enter and track projects in bid tracking systems

Estimating Support & Takeoffs

• Perform quantity takeoffs for ductwork, equipment, and piping systems
• Review drawings and specifications to understand project scope
• Assist with vendor and subcontractor pricing
• Compile data into estimating templates

Proposal Coordination

• Assist in assembling proposals and bid packages
• Coordinate internal review and revisions
• Submit bids via required platforms
• Maintain proposal documentation and correspondence

Bid Tracking & Follow-Up

• Track bid status (won / lost / pending)
• Follow up on submitted proposals
• Maintain accurate estimating records

Project Handoff

• Compile awarded project documentation
• Coordinate handoff to project management team
• Ensure continuity from estimating to operations

Qualifications

Required

• 0-2 years in construction, HVAC, Plumbing, Electrical or estimating
• Strong organizational and time management skills
• Ability to manage multiple deadlines simultaneously
• Proficiency in Microsoft Excel and Word
• Ability or strong willingness to read construction drawings

Preferred

• Exposure to HVAC or mechanical systems
• Experience with Bluebeam or similar plan review software
• Familiarity with bid platforms (Building Connected, Plan Hub, Procore)
• Experience with takeoff or estimating software

Work Environment

• Fast-paced, deadline-driven estimating environment
• Multiple concurrent bids and shifting priorities
• High level of coordination with estimating and operations teams
