Special Education Route Coordinator
The Special Education Bus Route Coordinator is responsible for planning, coordinating, and maintaining safe, efficient, and legally compliant transportation services for students receiving special education transportation. This position serves as the primary liaison between Transportation, Special Education, schools, parents, and bus staff to ensure students receive appropriate transportation accommodations while maintaining excellent customer service.
Essential Duties and Responsibilities Route Planning & Scheduling- Design, coordinate, and maintain special education bus routes.
- Assign students to buses based on IEP transportation requirements, student needs, ride time, and efficiency.
- Coordinate new enrollments, withdrawals, and transportation changes in a timely manner.
- Adjust routes daily to accommodate schedule changes, student moves, and staffing needs.
- Ensure compliance with district transportation policies and state regulations.
- Coordinate wheelchair transportation.
- Behavior transportation plans.
- Collaborate with IEP teams to ensure student plans are met while students are being transported.
- Serve as the primary transportation contact for parents regarding special education transportation.
- Communicate transportation information with Special Education staff, school administrators, therapists, and teachers.
- Respond promptly and professionally to parent concerns and transportation questions.
- Coordinate transportation arrangements for Extended School Year (ESY), preschool, and specialized programs.
- Collaborate with other supervisors, staff, and parents to problem-solve.
- Professional and discreet when handling confidential student information.
- Provide drivers and aides with accurate route information and student accommodations.
- Communicate student behavioral, medical, mobility, and equipment needs while maintaining confidentiality.
- Assist with training drivers and aides on transportation procedures and student-specific requirements.
- Coordinate substitute drivers and aides for special education routes as needed.
- Maintain accurate transportation records for all special education students.
- Ensure transportation accommodations align with Individualized Education Programs (IEPs) and district policies.
- Monitor ride times and transportation services for compliance with applicable laws and regulations.
- Prepare reports and documentation as requested.
- Coordinate wheelchair bus assignments and specialized equipment needs.
- Assist in planning field trip transportation for special education programs when necessary.
- Monitor route efficiency and recommend improvements.
- Participate in emergency transportation planning and problem-solving.
- Work collaboratively with dispatch during daily operations.
- Committed to providing safe, reliable transportation for students with diverse needs.
- Physical presence at the worksite is an essential function of this position. The role requires in-person collaboration, direct interaction with team members, other staff, students, and/or guardians, and access to on-site equipment and resources.
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
- Strong organizational and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills.
- Strong customer service and conflict resolution abilities.
- Knowledge of student transportation principles and routing software preferred.
- Understanding of special education transportation requirements and confidentiality laws.
- Ability to work collaboratively with families, school staff, and transportation personnel.
- Proficiency with Microsoft Office, Google Suite, and transportation software.
- High school diploma or equivalent required.
- Experience in student transportation, routing, dispatching, or logistics preferred.
- Experience working with special education students or programs preferred.
- Valid CDL
