Job Description

HCC is currently seeking an individual to serve as a shared payroll administrator for our member districts. The successful candidate will serve as a shared resource to assist payroll and treasurer office staff within participating districts.

Responsibilities
  • Work directly with multiple Ohio school districts to understand their payroll processes.
  • Create and develop documentation outlying the processes for multiple school districts.
  • Serve as the back‑up payroll person for multiple school districts, processing payroll on a temporary basis when the primary payroll processor is unavailable.
  • Verify employee salary schedules and steps, maintain payroll deduction information, and verify timesheets, calculate gross wages, process, and reconcile payrolls.
  • Maintain medical, disability, FMLA, sick, personal, and vacation records.
  • Verify timely completion of payroll reports and tax payments.
  • Assist with the preparation and distribution of employee W‑2 forms.
  • Assist with onboarding and termination processes related to software and payroll.
  • Travel to districts across the HCC service area (Hamilton, Clermont, Brown, and Adams Counties) as required.
  • Work in a support role for multiple districts when not assigned specifically to a single district.
Qualifications
  • Ability to pass FBI/BCI background checks.
  • Experience in school business processes.
  • Work experience with USPS (State Software) or eFinancePLUS (eFP); preferred: SCView, OnBase, Kronos (UKG), Microsoft Excel, Google Sheets/Docs.
  • Ability to follow complex instructions and processes, and recognize/correct errors independently.
  • Ability to interact comfortably and confidently with colleagues and staff from multiple school districts.
  • Self‑motivated, self‑starter with the willingness to learn new things.
  • At least 1 year of relevant experience preferred.
  • Bachelor degree preferred.
  • Citizenship, residency, or work visa required.
