Position Overview Payroll Manager

We are seeking an experienced Payroll Manager to oversee the accurate and timely processing of payroll while ensuring compliance with federal and state payroll regulations. This position will manage payroll data, deductions, taxes, benefits, payroll reconciliations, and 401(k) administration while partnering closely with HR, Treasury, and Finance.

The ideal candidate is highly organized, detail-oriented, analytical, and comfortable working independently in a fast-paced and evolving environment.

Key Responsibilities
  • Enter, maintain, and process payroll information, including employee rates, bonuses, compensation, hours worked, paid leave, holidays, deductions, with holdings, and employee changes.

  • Ensure accurate processing of payroll deductions for taxes, benefits, garnishments, and other deductions.

  • Issue or reissue physical checks and direct deposits resulting from payroll errors or employee separations.

  • Oversee federal and state payroll tax compliance, including filings, deposits, and account setup.

  • Process annual payroll compliance requirements, including W-2s and other tax forms.

  • Review payroll information for accuracy and ensure all required documentation is complete.

  • Coordinate with HR regarding payroll changes, including new hires, terminations, compensation changes, and other employee updates.

  • Process bonuses, severance payments, taxes, workers' compensation, and other financial compensation or deductions.

  • Reconcile payroll to the general ledger and monthly bank statements.

  • Partner with Treasury and Finance to ensure accurate payroll banking transactions.

  • Support benefit programs through deduction calculations, deduction setup, invoice payments, and journal entry preparation/posting.

  • Manage the company's 401(k) plan, including daily administration, annual reporting and compliance, audits, governmental inquiries, and plan updates.

  • Support headcount budgeting, forecasting, and tracking actual results against budget.

  • Prepare payroll and financial reports for management as requested.

  • Respond to employee questions regarding salaries, payroll, deductions, and payments.

  • Work with government agencies, including the IRS, on audits, inquiries, and information requests.

  • Assist with other accounting and finance responsibilities as needed.

Required Qualifications
  • 8+ years of payroll experience.

  • Strong knowledge of payroll processing, compliance, and payroll tax requirements.

  • Proven experience serving as a Payroll Lead, Payroll Manager, or in a similar senior-level payroll role.

  • Ability to work independently while collaborating effectively with HR, Finance, Treasury, and other departments.

  • Highly organized and detail-oriented with the ability to manage multiple priorities.

  • Comfortable working in a fast-paced and continually evolving environment.

Preferred Qualifications
  • Bachelor's degree in Accounting, Finance, or a related field.

  • Working knowledge of payroll systems such as Paycor, Paylocity, ADP, and Success Factors

  • Excellent organizational and time-management skills.

  • Strong analytical and mathematical skills.

  • Proven ability to identify discrepancies and maintain a high level of accuracy.

  • Ability to prioritize effectively in a high-volume, multi-tasking environment.

  • Adaptability and sound judgment when handling non-routine or changing situations.

  • Strong communication and interpersonal skills.

Physical & Work Requirements
  • Ability to remain stationary for extended periods of time.

  • Ability to regularly operate a computer, telephone, printer, and other standard office equipment.

  • This is an on-site position requiring physical presence during regular business hours unless otherwise approved by management.
