Overview
Allphase Restoration – Columbus, OH
Allphase Restoration is seeking a highly organized and detail-driven Mitigation Coordinator to support our mitigation operations team. This role plays a critical part in improving operational efficiency, documentation accuracy, and client communication throughout the mitigation process. The Mitigation Coordinator works directly alongside the Mitigation Manager to ensure projects move smoothly from job setup through billing, while maintaining high documentation standards and exceptional customer service.
Responsibilities- Real-Time Job Review & Quality Control:
Conduct real-time mitigation file reviews using MICA and Docusketch platforms. Identify documentation deficiencies before technicians leave the job site. Ensure scope accuracy and completeness of job documentation. Support oversight of active mitigation projects. Help prevent delays in billing or unnecessary return visits. - Estimate Development from Preliminary to Final:
Prepare preliminary estimates using Docusketch data and MICA documentation within one (1) business day of job setup when documentation is available. Complete final estimates within one (1) day of job completion. Assist in improving revenue turnaround and invoicing efficiency. - File Auditing & Documentation Compliance:
Perform comprehensive file audits to ensure documentation meets company and carrier standards. Monitor DASH compliance tasks. Verify accurate and detailed file notes. - Photographs & Documentation:
Confirm required photographs and supporting documentation are uploaded. - Call Intake & Administrative Support:
Answer incoming office calls professionally and promptly. Gather and document loss information accurately. Route calls and communicate details to appropriate team members. Assist with timely job setup and response coordination. - Dispatch & Scheduling Support:
Collaborate with the Mitigation Manager on dispatch and scheduling adjustments. Support efficient crew allocation. Help ensure jobs are assigned and completed on schedule. - Client & Stakeholder Communication:
Communicate professionally with homeowners, insurance adjusters, and other stakeholders. Provide job updates and clarify scope-related questions. Maintain a high level of customer service throughout the mitigation process.
- Prior experience in restoration, mitigation, or construction administration preferred.
- Experience with MICA, Docusketch, DASH, or Xactimate strongly preferred.
- Strong attention to detail and documentation accuracy.
- Ability to prioritize tasks in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficient with computer systems and digital documentation platforms.
