Position PurposeThe RMDC Clerk assists with record identification and ensures newly generated or received records in all formats are created and maintained as required by National Archives and Records Administration (NARA) and DOE Record Disposition Schedules. The RMDC maintains a comprehensive filing system for records in all formats to be retained in the records management system for retrieval, demonstrating a personal commitment to safety and quality.
Essential Duties and Responsibilities- Process records in all formats, determining permissions with the appropriate document markings, checking for accuracy and completeness according to NARA requirements, and identifying record retention dates.
- Review records to ensure proper requirements are met and provide feedback on each record transfer when records do not meet requirements.
- Import records into Documentum, identify record properties for tracking purposes, label, file and ensure quick retrieval.
- Assign document numbers for DOE and North Wind Dynamics, LLC (NWD) documents.
- Respond to customer requests for documents by researching, retrieving, and providing copies (hard or electronic) and verifying classification with appropriate markings for the requestor’s need-to-know.
- Digitize paper records by scanning, ensuring quality and legibility meet NARA/DOE requirements (creating PDF or Word documents).
- Determine and assign, as directed, the correct NARA-approved DOE records disposition and proper file arrangement for categorization and disposition.
- Assist the Records Manager with record disposition activities.
- Provide input for the development of departmental procedures as needed.
- Assist with Energy Employee Occupational Illness Compensation Program/Freedom of Information Act (EEOICPA/FOIA) and Privacy Act responses.
- Collect documents and maintain indexes to support the Administrative Record/Information Repository of the Environmental Information Center.
- Assist with retrieval and delivery of external mail, including sorting mail for distribution.
- Operate a postage meter to affix appropriate postage to all external mail and track postage utilization by other contractors for billing purposes.
- Maintain a safe working environment, demonstrating awareness of environmental, safety, and health (ES&H) requirements and alerting co‑workers as needed.
- Get along with co‑workers, customers, and visitors.
- Performs other duties as assigned.
Safety Responsibilities: Keep work area free of hazards, perform work within identified controls, stop work when an unsafe condition exists, participate in safety programs and initiatives, report injuries, and contribute to work planning to identify hazards and implement corrective actions.
Minimum Qualifications- High school diploma or equivalent plus at least three years of related work experience.
- Proficiency with Microsoft Office applications and working knowledge of Adobe Acrobat, including creation and modification of PDF documents.
