  • Minimum 2-3 years of administrative support or executive assistant experience
  • Strong verbal and written bilingual communication skills in Japanese and English
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Power Point
  • Strong organizational, multitasking, and problem-solving skills
  • Excellent attention to detail and accuracy
  • Ability to manage schedules, coordinate meetings, and support executive priorities effectively
  • Ability to work onsite 5 days per week initially

    Preferred Skills
  • Prior experience supporting executives or leadership teams
  • Experience working in corporate or professional office environments
  • Additional experience with research, reporting, graphics, or presentation preparation is a plus
  • Strong interpersonal and stakeholder communication skills

    Overview (Bilingual Administrative Assistant):

    We are seeking a highly organized and professional Bilingual Administrative Assistant to support senior leadership and executive operations. This role will provide administrative support to 2-3 executives while helping ensure smooth day-to-day business operations, scheduling coordination, meeting management, and executive communications.

    The ideal candidate will have strong bilingual communication skills in both Japanese and English, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced corporate environment.

    Responsibilities:
  • Provide administrative and executive support to 2-3 leaders/executives
  • Manage complex calendars, scheduling meetings, and coordinating appointments across teams and stakeholders
  • Support conference and meeting planning, including logistics, agendas, documentation, and follow-up actions
  • Prepare reports, presentations, spreadsheets, and executive documents using Microsoft Office tools
  • Coordinate and organize records, files, and documentation with a high level of accuracy and confidentiality
  • Assist with data gathering and preparation of standard and custom reports for leadership decision-making
  • Support internal and external communications in both Japanese and English
  • Coordinate limited domestic travel arrangements and related logistics (approximately 5% travel support)
  • Handle administrative tasks independently while supporting department-specific operational needs
  • Maintain professionalism, discretion, and strong organizational practices in a dynamic environment

    Additional Details
  • Flexible start time between 6:00 AM - 10:00 AM based on business needs and executive support requirements
  • Interview Process: 2-3 rounds, including onsite interviews with multiple team members
  • Shortlisting expected within 48 hours
  • Potential opportunity for full-time conversion after 12 months based on performance and business needs
