Position Overview
Office Coordinator for Student Engagement and First‑Year Experience (FYE). Reports to the Directors of Student Engagement and First Year Experience. Part‑time with benefits, 35 hours per week for 11 months (≈1,668 hours annually). Hourly rate: $17.96.

- Provide front‑line office support for walk‑in traffic, answering phones, triaging concerns and questions while directing students and customers to the appropriate resources.
- Train and supervise the day‑to‑day work and scheduling of the student interns/workers who assist the front desk.
- Manage calendars and schedule appointments for professional staff members.
- Manage the Student Engagement and FYE email accounts, including responding to messages and forwarding communications to the appropriate staff person.
- Manage the Student Engagement and FYE shared Google Drives for historical retention of records.
- Administer keys and K‑card access to the seven facilities managed by Student Engagement.
- Order office supplies and make purchases as needed following procurement procedures.
- Track FYE and OSE supplies (nametags, lanyards, shirts, etc.)
- Manage sign‑out system of office credit cards for student organizations, OSE and FYE interns, and program purchasing.
- Assist with student organization and staff purchasing.
- Oversee Student Engagement rental equipment process, policies, and inventory.
- Manage student organization locker storage process, policies, and space.
- Assist with the repair/replacement of equipment in Student Engagement‑managed spaces.
- Place work orders for all Student Engagement managed spaces.
- Oversee process to reserve, service, and maintain the Campus Life Kubota vehicle.
- Moderate email distribution lists during business hours.
- Assist with event planning by providing logistical support for accepting RSVPs, requesting space, services, catering, etc. for professional staff and student organizations.
- Collaborate on the Social Events with Alcohol (SEWA) program administration with the Director of Student Engagement.
- Provide support for information requests to campus colleagues.
- Reconcile purchasing card transactions for professional staff in Student Engagement and FYE.
- Assist with Orientation recruitment and selection process.
- Support the Student Engagement and FYE experience through programming and event support as requested (opening, closing, and major campus events).
- Assist with strategic planning, evaluation, and assessment for Student Engagement and FYE.
- Partner with campus offices such as the Offices of Student Rights and Responsibilities, Alumni and Parent Engagement, Diversity, Equity, & Inclusion, Community Partnerships, Athletics, and Academic Affairs.
- Participate in activities, meetings, and events as a member of the Division of Student Affairs.
- Serve on campus committees as requested.
- Other duties as assigned.
- 2–3 years of professional office experience, preferably in a higher education setting.
- Appreciation for the value of a residential, liberal arts education and energy and enthusiasm for working with undergraduate students.
- Strong organizational management and task‑completion skills, excellent written and oral communication skills.
- Proficiency with Microsoft Office suite, Google products, Campus Reports, and Banner data management system highly desirable.
- Ability to lift and carry 20 lbs. unassisted.
