Works under the direction and supervision of the Registered Pharmacist Supervisor and Community Pharmacy Manager. The Outpatient Pharmacy Assistant Supervisor’s primary job function is to maintain and coordinate an efficient pharmacy workflow by providing the leadership and management skills necessary to monitor and manage the pharmacy technicians at their respective pharmacy. This includes but is not limited to creating the pharmacy technician schedule, assigning workflow assignments and lunch times, coordinating coverage for technician and cashier call offs, and assisting the Registered Pharmacist Supervisor with supervising, training, and leading pharmacy technicians by conducting one-on-one meetings, rounding, and technician evaluations on a regular basis, and assisting with coaching and corrective action conversations when warranted.

In addition to these leadership duties, the Outpatient Pharmacy Assistant Supervisor is also responsible for being the primary contact for all training needs related to current and future pharmacy processes and procedures, including pharmacy software and automation, as well as being responsible for maintaining and controlling pharmacy inventory. The Outpatient Pharmacy Assistant Supervisor will have at least 50% of their time that will be considered as administrative time to accomplish these functions.

Performs technician duties as assigned.

QUALIFICATIONS

Education:

  • High School Diploma or successful completion of an equivalent High School Exam required.
  • Completion of a board approved Pharmacy Technician training program or National Certification required.
  • Achievement of 90% or higher on SOMC’s Competency Assessment for Increasing Technician Responsibilities required within 2 years.
  • Completion of advanced certified pharmacy technician courses and examinations offered through PTCB or NPTA/BPTS required within 4 years.
  • Advanced certificates in Immunization Administration, Medication Therapy Management, Technician Product Verification, Supply Chain Management, and Regulatory Compliance required within 4 years.
  • Completion of ASHP’s Pharmacy Leadership Certificate:
    Management Basics course preferred.

Licensure:

  • Successful completion of National Certification test required (PTCB or NHA).
  • For Ohio:
    State of Ohio Board of Pharmacy Technician Registration as Registered Pharmacy Technician required.
  • For Kentucky:
    State of Kentucky Board of Pharmacy Technician Registration required.
  • Successful completion of Advanced Certified Pharmacy Technician courses and examinations (PTCB or NPTA/BPTS) to obtain credentialing of CPhT-Adv required within 4 years.

Experience:

  • One-year SOMC Pharmacy Technician experience preferred.
  • At least 5 years’ Pharmacy Technician experience required.

JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS

  • Maintains and coordinates the day-to-day pharmacy workflow to ensure efficiency.
  • Coordinates a monthly pharmacy technician and cashier schedule including daily assignments and lunch times.
  • Responsible for preparing the schedule for technicians, cashiers, and interns. Approves PTO/schedule requests and coordinates cashier and technician call-offs. Utilizes UKG to perform timekeeping duties including, but not limited to, posting schedules, modifying schedules, addressing exceptions and notifications, approving PTO requests, and approving timecards.
  • Acts as an Inventory Champion to ensure cycle counts are completed Monday through Friday, Amerisource Bergen deliveries are signed for, EDI files and receipts are accepted timely, INMAR returns are gathered and sent, obsolete inventory returns are completed, outdate sections are assigned and updated regularly, inventory audits are performed when necessary, and a gameplan is developed and planned for yearly inventory.
  • Checks incoming orders of medications and pharmacy supplies against purchase requisitions for accuracy and completeness.
  • Monitors stock levels and items needed to ensure adequate inventory. Assures stock rotation and placement of items in appropriate storage areas.
