Qualifications:

  • 2-3 years experience in HR administration, onboarding, or people operations

  • Knowledge of employment documentation and HR record-keeping practices

  • Proficient in Google applications and Google Workspace (Docs, Sheets, Drive, Forms, Calendar)

  • Proficient in Microsoft applications (Word, Excel, PowerPoint, Outlook)

  • Experience working with Applicant Tracking Systems (ATS) and HR databases

Goals of this role:

Ensure a smooth, timely, and compliant end-to-end onboarding experience for all newhires by managing documentation, coordination, and records management, while maintaining accurate HR files and audit-ready paper trails in line with company policies and statutory requirements.

Responsibilities:

  • Manage the end-to-end onboarding process for new hires, from pre-employment documentation to Day 1 readiness and post-onboarding completion
  • Coordinate closely with Recruitment, Hiring Managers, IT, Facilities, and Payroll to ensure all onboarding requirements are completed accurately and on time
  • Prepare, collect, verify, and maintain all employment-related documents (contracts, government forms, personal data sheets, acknowledgements, policies, etc.)
  • Ensure completeness, accuracy, and proper filing of both physical and electronic employee records in compliance with data privacy and retention policies
  • Maintain clear and traceable paper trails for audits, internal reviews, and compliance requirements
  • Update HR systems and trackers with new hire information, onboarding milestones, and document status
  • Provide onboarding guidance to new hires, addressing documentation requirements, timelines, and basic HR-related queries
  • Monitor onboarding progress and follow up on missing or pending requirements to ensure timely completion
  • Support continuous improvement of onboarding processes, checklists, templates, and filing systems
  • Manage confidentiality and sensitive employee information with the highest level of integrity and professionalism.
  • Others:
