At Fahey Schultz Burzych Rhodes, our administrative professionals play an important role in keeping our practice groups organized, responsive, and moving forward. As an Administrative Assistant, you’ll provide dedicated support to attorneys and team members while helping coordinate the day-to- day details that allow the group to serve clients effectively.
This role is well suited for someone who is highly organized, detail-oriented, and comfortable managing multiple priorities. You’ll work closely with attorneys and other members of the firm to coordinate schedules and meetings, track projects and deadlines, prepare materials, and provide administrative support across a variety of matters. We’re looking for someone who takes initiative, communicates well, and enjoys being part of a collaborative professional environment.
POSITION RESPONSIBILITIES:- Schedule and manage attorney calendars, draft routine correspondence, prepare and schedule conference rooms.
- Schedule internal and external meetings, draft agendas, record meeting minutes, assemble meeting binders.
- Coordinate reservations and registrations for conferences; renew annual memberships.
- Demonstrate exceptional organizational skills in tracking assigned projects, due dates, timekeeping, reimbursements, and more.
- Maintain detailed project tracking and provide timely updates regarding progress and deadlines.
- Collaborate with team members to share experiences, participate in practice group and firm meetings, and contribute to the success of the firm’s objectives.
- Consistently promote and model day-to-day behavior consistent with the Firm’s Core Values, Pillars of Culture, and other firm policies.
- Perform other administrative job duties as assigned.
- High school diploma is required; associate degree in a related field is preferred.
- Minimum of two (2) or more years of experience working in a professional office; experience in a private sector law firm or public sector legal department is preferred.
- High attention to detail, able to work interdependently, coachable and adaptable, takes initiative, collaborative, and able to organize and prioritize their workload.
- Proficiency in Office 365 Suite and Adobe Professional
