Position OverviewThe Contract and Billing Administrator (Glass and Glazing Projects) manages job setup, billing, compliance, and documentation processes from project kickoff through closeout. This role works closely with project managers, accounting, and general contractors by ensuring accurate records, timely billing, and full contractual compliance.
Key Responsibilities Setup & Project Administration- Set up new jobs and subcontracts in project management and accounting systems
- Maintain complete and accurate project documentation throughout the job lifecycle
- Create and maintain Schedules of Values (SOV)
- Prepare, submit, and enter monthly pay applications to ensure timely and accurate project billing
- Process change orders and job cost adjustments
- Coordinate billing, payments, and deposits in collaboration with project management and accounting
- Manage lien waivers, notarizations, and pre-lien notices
- Track certified payroll and OCIP/CCIP compliance requirements
- Prepare and issue bonds and certificates of insurance
- Review contracts to verify documentation and insurance compliance
- Provide required job documentation, photos, and reports to contractors and vendors
- Support project closeout documentation and record retention requirements
- Associate’s or Bachelor’s degree in Accounting, Business, Construction Management, or equivalent experience
- 2+ years of experience in construction accounting, billing, or project coordination
- Proficiency in Microsoft Office, particularly Excel
- Experience with Bluebeam and construction accounting and/or job cost software (e.g., Viewpoint Vista, Vista Web)
- Familiar with other Microsoft Applications (e.g., SharePoint, Power Automate)
- Strong organizational, communication, and problem-solving abilities
- Ability to manage multiple deadlines across active construction projects while maintaining accuracy and compliance
