The Payroll Tax Analyst is responsible for ensuring the accurate and timely administration of payroll tax compliance activities. This position oversees payroll tax filings, tax account registrations, unemployment insurance rate management, payroll tax reconciliations, and the resolution of tax notices. The role serves as a key liaison between the organization, payroll service providers, and government agencies to ensure compliance with all federal, state, and local payroll tax regulations.

Major

Responsibilities
  • Review, submit, and approve federal, state, and local payroll tax returns through ADP.
  • Coordinate payroll tax account registrations for new tax jurisdictions, working with ADP and licensing agencies.
  • Manage the resolution of payroll tax notices, audits, and inquiries, partnering with ADP.
  • Maintain and update unemployment insurance tax rates and ensure timely submission to payroll systems and third-party payroll service providers.
  • Reconcile payroll tax and payroll‑related general ledger accounts, researching and resolving discrepancies.
  • Monitor compliance with federal, state, and local payroll tax laws and regulations.
  • Manage payroll tax reporting, quarter‑end, and year‑end activities.
  • Support internal and external audits by providing required payroll tax documentation and analysis.
  • Prepare advanced payroll reports and analytics.
  • Develop and maintain payroll tax procedures and documentation.
  • Identify opportunities to improve payroll tax processes, controls, and compliance practices.
  • Perform other duties and special projects as assigned.
Education and Experience
  • Education:

    Bachelor’s degree in accounting, Finance, Business Administration, Human Resources, or a related field. Certified Payroll Professional (CPP) designation or progress toward certification preferred.
  • Experience:

    Minimum of 5-8 years of payroll tax, payroll accounting, or payroll administration experience. Experience managing multi-state payroll tax filings and compliance. Experience working with third‑party payroll providers such as ADP, Ceridian, Workday, SAP, or similar payroll systems. Experience reconciling payroll tax accounts and general ledger balances.
Skills and Physical Demands
  • Hard

    Skills:

    Strong knowledge of federal, state, and local payroll tax regulations. Understanding of payroll accounting and general ledger reconciliation principles. Proficiency with Microsoft Excel and payroll reporting tools.
  • Soft Skills:

    Strong analytical, problem‑solving, and research skills. Excellent attention to detail and organizational skills. Ability to interpret tax regulations and apply them accurately. Strong written and verbal communication skills. Ability to prioritize multiple deadlines in a fast‑paced environment. Ability to maintain confidentiality and handle sensitive payroll information.
  • Typical Physical Demands:
    Requires prolonged sitting, some bending and stooping. Occasional lifting up to 25 pounds. Manual dexterity sufficient to operate a computer keyboard and calculator. Requires normal range of hearing and vision.
