Position SummaryProvide a wide range of administrative and office support activities for the department and/or managers to facilitate the efficient operation of the organization. Always maintain confidentiality and discretion. To maintain operational excellence and sustainability, the Front Desk Building Administrator operates within clearly defined professional boundaries. Overall, the Front Desk Building Administrator is responsible for ensuring the daily operational flow, organization, and professionalism of the executive building.
This role supports leadership, staff, and guests while maintaining a functional and welcoming environment.

High School Graduate or General Education Degree (GED):
Required
Experience:
1-year minimum experience in a fast-paced office administration required. Administration experience in multi department Health or Dental organizations Preferred.
- Answer phones as needed in a friendly manner, per the Dental Depot procedures.
- Monitors the front door for deliveries and grants access to the executive office when appropriate.
- Creates and maintains company directories, event calendars, vehicle reservations, and conference rooms.
- Sorts and delivers mail throughout the executive office.
- Manage/order office supplies for ELO and offices.
- Assist with mail, packages, and courier when needed.
- Orders ELO monthly lunches and is responsible for cleaning up afterwards.
- Manages company car schedules.
- Facilitates communication between ELO and vendors (cleaning, Bill Warren, Amazon, etc.)
- Assist with meal set up and clean up when needed, and also includes stocking of kitchen and events area for the fellowship hall.
- Manage and monitor gift cards for employees and patients (patient complaints, employee awards).
- Assist with maintaining the cleanliness of the kitchen/break room/restrooms, including bi-weekly kitchen cleaning.
- Create documents as requested.
- Process statements to be approved for payment.
- Filing invoices and pay statements.
- Manage Birthday, Anniversary, gift, and employee recognition cards and items.
- Assist with other departments’ administrative needs as necessary.
- Assist with keeping the supply cabinet organized.
- Complies with:
Dental Depot policies and procedures; OSHA policies, procedures, rules, and regulations; and HIPAA policies, procedures, rules, and regulations. - This position may complete other Administrative and Maintenance tasks as assigned by Management.
