DEPARTMENT: SECONDARY INSTRUCTION

FLSA STATUS: NON-EXEMPT

SAFETY-SENSITIVE: YES

POSITION SUMMARY:

The secretary is responsible for carrying out all assignments including making some independent judgments and decisions based on information provided by the principal.

QUALIFICATION REQUIREMENTS:

  • Ability to perform each essential duty satisfactorily
  • High School diploma or general education degree (GED)
  • One year of secretarial experience and/or work experience preferred

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintain ledger and all activity account records in accordance with Board Policy and state law.
  • Provide monthly and annual summary of activity fund to the Principal and the Chief Financial Officer.
  • Maintain purchase order log, type purchase orders, and ensure adherence to activity account purchasing procedures.
  • Distribute and maintain records of teacher’s receipt books.
  • Process district requisitions and maintain purchase orders. Order, distribute and maintain inventory of all supplies for school.
  • Must keep all financial records current and ready for audit on short notice.
  • Data entry into powerschool. Create, prepare, and distribute various reports on Powerschool.
  • Sort and distribute inter-office and U.S. mail. Distribute mail and community/district flyers.
  • O rganizes and maintains various files including confidential student files.
  • Additional duties that may be assigned by immediate supervisor or above.

LANGUAGE AND GRAMMAR

SKILLS:

Ability to read and comprehend simple instructions, short correspondence and memos. Ability to compose and write grammatically correct correspondence and memos.

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, schedule form, or blueprint form.
