Pay: $65,000 - $75,000

We are seeking a detail-oriented Office Administrator to support our growing steel manufacturing and construction team. This role is responsible for overseeing daily office operations, maintaining accurate financial records in Quick Books Online, coordinating project documentation, and providing administrative support to ensure projects run efficiently. The ideal candidate has experience in the construction or manufacturing industry and thrives in a fast-paced environment.

Responsibilities

  • Manage daily office operations and provide administrative support to the team.
  • Process accounts payable, accounts receivable, and payroll data using Quick Books Online.
  • Track job costs, including labor, materials, and subcontractor expenses.
  • Reconcile vendor invoices with purchase orders and delivery tickets.
  • Maintain subcontractor compliance by tracking W-9s, certificates of insurance (COIs), and lien waivers.
  • Prepare project close-out documentation, including warranties, manuals, and material certifications.
  • Answer phones, coordinate mail and deliveries, and order office and shop supplies.
  • Assist with employee onboarding, safety documentation, and other HR administrative tasks.

Qualifications

  • 2+ years of office administration experience in construction, structural steel, manufacturing, or a related industry.
  • Required: Proficiency with Quick Books Online.
  • Strong Microsoft Office skills, particularly Excel.
  • Familiarity with construction billing, job costing, subcontractor documentation, and project workflows.
  • Excellent organizational skills, attention to detail, and the ability to manage multiple priorities.
  • High school diploma or equivalent required; an Associate's or Bachelor's degree in Business Administration or Accounting is a plus.
