Administrative Assistant to the Academic Affairs AVP Office

The Administrative Assistant to the Academic Affairs AVP Office is responsible for providing a variety of administrative functions, which include the performance of special assignments for the Office of Academic Affairs.

Associate Vice President for Academic Affairs

Minimum Education /

Experience:

High School Diploma/GED Minimum (2) years work experience in an administrative office position.

Required Knowledge, Skills & Abilities:
Knowledge:
Customer service principles English language, grammar, and punctuation Administrative principles and practices Basic budget principles Basic computer commands, file maintenance, and use of Microsoft Office and similar software

Skills:

Effectively using telephone etiquette Applying mathematical functions Organizing work Managing multiple priorities Using modern office equipment Using a computer, word processing, and related software applications Communicating and interacting with supervised staff, coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to give and receive work direction Abilities:
Maintain accurate records Accurately spell and file Edit and correct grammar, punctuation, and spelling of manuscripts and correspondence drafts and prepare finished copy in quality format Draft confidential correspondence

Physical Demands/

Working Conditions:

The work is light work which requires the person in this position to occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects. Additionally, the following physical abilities are required:
This position requires the person to frequently communicate with and listen to staff, faculty, students and others to perform the essential functions of the position; must be able to exchange accurate information in various situations. This position requires the person to operate a computer, other office machinery, and mobile devices to perform the essential functions of the position. This position requires the person to frequently operate equipment that involves repetitive motions of hands and wrists.

This position requires the person to position self to access equipment, materials, or supplies that may be above head or ground level. This position requires the person to judge, observe, and assess the accuracy, neatness, thoroughness of work assigned or to make general observations. Work is performed in a relatively safe, secure, stable, and indoor office and work environment. Work is performed during normal office hours;

some evenings and weekends may be required.

Preferred Qualifications:

Associate degree More than (2) years' of administrative work experience in an institution of higher education.

Required Training:
Quarterly compliance training as assigned by institution Annual Campus Security Authority (CSA) Training

Work Hours:

Normal work hours are 8:00 am to 5:00 pm Monday through Friday; however, some evenings and weekends may occasionally be required.

Coordinates all activities related to administrative and office management for the Associate and Assistant Vice President for Academic Affairs; coordinates travel and the reimbursement of travel for faculty and staff of Academic Affairs; and coordinates catering and facilities set-ups for Academic Affairs.
