Administrative Specialist
ASRC Federal Advanced Research LLC (AFAR) is seeking an experienced Administrative Specialist to join our Terminal Surveillance & Beacon team that supports the Federal Aviation Administration (FAA) in Oklahoma City, OK. This is a full-time on-site position at the Mike Monroney Aeronautical Center (MMAC).
The Terminal Surveillance & Beacon team provides Second Level Engineering Support (SLES) to the following National Airspace Systems (NAS):
Air Traffic Control Beacon Interrogator (ATCBI) 5/6/6M, Monopulse Secondary Surveillance Radar (MSSR) / Diminishing Manufacturing Source - Monopulse Secondary Surveillance Radar (DMS MSSR), Surveillance and Broadcast Services Monitor (SBSM), Surveillance and Broadcast Services Subsystem (SBSS), Airport Surveillance Radar (ASR) 8/11, and Common Terminal Digitizer (CTD).
All candidates must have the following to pass the Federal Background Investigation and obtain the FAA Public Trust security clearance.
- Be a US Citizen.
- Have resided in the US for three (3) consecutive years.
- RealID Driver's License/ current US Passport.
Candidate must reside or be willing to relocate within a commutable distance to Oklahoma City, OK.
Education & Experience Requirement- High School Diploma or GED
- Proven Administrative roles highly desired.
- Ability to work independently with minimal supervision.
- Proficient in Microsoft Office applications (Word, Excel, and PowerPoint)
- Ability to communicate effectively through verbal and written communication.
- Strong interpersonal and team working skills.
- Customer relations skills.
- High organizational and clerical skills.
- Familiarity with computer operation, electronic file management, operating various software packages, data entry, accessing network folders, etc.
- Acrobat familiarity (Signing and creating forms, leaving comments, data entry, etc.)
- Familiarity with FAA NAS systems and FAA Second Level Engineering processes desired.
Job Duties
- Support daily team operations, reception duties, and meeting coordination.
- Manage travel, expense report, and timesheet assistance for federal staff and contractors.
- Maintain team inventory, GFE receipts, office supplies, administrative files, and government property logs.
- Monitor team outlook mailboxes, distribute correspondence, and assist with report preparation.
- Coordinate training, on/off-boardings, and maintain team calendars and contact lists.
- Handle shipping, deliveries, mail distribution, and data entry into required systems.
- Prepare for workplace inspections and address follow-up items.
- Assist with conference room setup, occasional meeting minutes, and development of SOPs.
- Full-time position with a standard work schedule.
- Lifting up to 15 lbs for small office supply orders or GFE.
- Cubicle environment.
