Science Coordinator II (Agency 455, OK Medical Marijuana Authority)

Job Overview

The Oklahoma Medical Marijuana Authority (OMMA) is seeking a full-time Science Coordinator II. This is a state position governed by the Civil Service Rules, located in Oklahoma City, OK.

OMMA offers a comprehensive benefits packet, including a generous benefit allowance to offset the cost of insurance premiums for employees and their eligible dependents. The annual salary for this position is up to $65,000 based on education and experience.

Position Summary

The Science Coordinator II position provides administrative, operational, and communications support for the Science Department, assisting with scheduling, records, purchasing, travel, onboarding, and departmental correspondence. The role also coordinates with internal and external partners to support licensing communications, vendor management, fiscal processes, IT needs, and open records requests.

Key Responsibilities
  • Plans and schedules meetings, including preparing agendas, taking notes, and recording minutes as needed.
  • Maintains office supply inventory and places replenishment orders when necessary.
  • Organizes and maintains departmental files and records.
  • Monitors email inquiries directed to the Science Department, and routes messages to the appropriate staff member.
  • Processes authorized P-card purchases in accordance with established procedures.
  • Makes motor pool reservations for departmental travel.
  • Coordinates travel arrangements for Science Department staff.
  • Assists with on-boarding new employees.
  • Creates, updates, and maintains departmental forms.
  • Facilitates IT service requests and ensures timely resolution of departmental technology needs.
  • Communicates with licensed entities, which includes official correspondence, information requests, and inspection updates.
  • Monitors and helps resolve business complaints in coordination with department leadership.
  • Coordinates with vendors to obtain quotes, manage purchasing, coordinate deliveries, and arrange on-site appointments.
  • Supports routine fiscal and purchasing activities, including processing invoices, payments, and reconciliations in accordance with state procedures.
  • Tracks and manages open records requests, coordinating document collection and fulfillment.
  • Collaborates with the Finance and Internal Services Departments to ensure accurate asset tagging and tracking of lab equipment.
  • Other duties as assigned.
Education and Experience

Education and Experience requirements at this level consist of a bachelor's degree and three (3) years of professional experience in business or public administration; or an equivalent combination of education and experience, substituting one year of technical administrative experience for each year of the required bachelor's degree.

Knowledge, Skills, and Abilities

Knowledge, Skills, and Abilities required at this level include knowledge of the methods of organization and management; of public administration; of agency policies and procedures; of grant or contract program requirements; of the legislative process; of basic research and statistical techniques; of federal and state laws and regulations relating to administration of assigned programs; and of supervisory principles and practices.

Ability is required to establish and maintain effective working relationships with others; to communicate effectively, both orally and in writing; to establish and develop training programs; to exercise good judgment in analyzing situations and making decisions; and to organize and present facts and opinions.

Physical Demands and Work Environment

Work is typically performed in an office setting with a climate-controlled setting and exposure to moderate noise level. While performing the duties of the job, employee is required to talk, stand, walk, and reach with hands and arms. This position requires long periods of sitting and daily use of computer and phone.

You are ineligible for OMMA employment if you are: an individual that has a direct or indirect interest in a licensed medical marijuana business; an individual who has or whose spouse, parent, child, spouse of a child, sibling, or spouse of a sibling has an application for a medical marijuana business license pending before the Department; a member of the board of directors of a medical marijuana business;

or an individual financially interested in any licensee or medical marijuana business.
