Overview
Employee Benefits Client Coordinator (SBU) (Finance)
The Client Coordinator (SBU) plays a key role in supporting the management of small group employee benefits accounts and ensuring a positive client experience. This position assists Account Managers and works directly with clients and carriers to maintain accurate records, process plan changes, and address daily service needs efficiently.
Responsibilities- Partner with Account Managers to manage a portfolio of small group employee benefit clients.
- Provide timely, accurate information and follow-up to ensure excellent client service.
- Serve as liaison between clients, carriers, and providers to ensure smooth communication and issue resolution.
- Maintain and update client data in EPIC, Brokerage Builder, internal filing systems, and related documentation.
- Add and manage BKB activities for Account Management.
- Support research, project tasks, and data management for Account Manager.
- Manage implementations of new carriers, plans, and benefit administration setups.
- Collect RFP data from carriers and clients, pull quotes from carrier sites or request directly, and prepare renewal proposals.
- Manage RFP workflow directly in BKB and track renewal timelines, open enrollment periods, and key deliverables to ensure timely completion.
- Prepare renewal documentation and open enrollment materials.
- Send all micro group renewals (create emails, provide renewal at a glance).
- Track key dates, such as renewal deadlines and open enrollment periods, to ensure timely completion of activities.
- Provide clear communication to clients regarding plan updates and processes.
- Create customized open enrollment materials, including benefit guides, annual notices, and broker disclosures.
- Support special projects as needed.
- Ensure all client records comply with applicable regulations such as ACA, HIPAA, and ERISA.
- Communicate PCORI, Gag Clause Attestation, RxDC, and non-discrimination testing information. Support ACA vendor coordination as applicable.
- Manage Mineral access, training, and utilization.
- Maintain confidentiality of all client and employee data.
