Job Summary:

The Ameri Corps Hospitality Assistant serves as a welcoming presence for clients, visitors, and partner agencies entering Palomar. This position supports the day-to-day hospitality operations of the Family Justice Center by maintaining welcoming client spaces, assisting clients throughout their visit, and providing operational support that promotes a safe, trauma-informed, and client-centered experience.

Working collaboratively with the Client Experience team, volunteers, and partner agencies, the Hospitality Assistant helps ensure clients are connected to appropriate services while promoting safety, dignity, hope, and ease of access throughout their visit.

Job Duties:
  • Provide a friendly, warm, and hopeful welcome to all clients, visitors, and accompanying persons.
  • Answer incoming calls and voicemails, provide general information, and connect callers with appropriate Palomar staff, partner agencies, and community resources.
  • Create a safe, calm, and hospitable environment throughout client-facing spaces.
  • Engage with clients while they are waiting by offering refreshments, Comfort Café items, programming information, and available resources.
  • Escort and assist clients in navigating the Family Justice Center, partner agencies, and available services.
  • Assist clients with printing, completing forms, and accessing resources as needed.
  • Support clients visiting the Palomar Shop and other client resource areas as needed.
  • Build and maintain positive, professional relationships with clients, staff, partner agencies, volunteers, and community members.
  • Promote efficient client flow throughout the Family Justice Center by responding to client and staff needs and providing operational support throughout the facility.
  • Assist with coordinating client transportation by booking rides, communicating with clients and staff regarding transportation arrangements, and supporting other transportation-related needs.
  • Review Victim Protective Orders (VPOs) for completeness as needed and ensure timely daily filing with the Oklahoma County Courthouse.
  • Scan, upload, distribute, and organize client documents, resource applications, and other required paperwork.
  • Accurately document client services, demographics, referrals, and other required information in Salesforce.
  • Maintain and restock the Comfort Café, client hospitality areas, office supplies, and client resources; conduct inventory checks, put away incoming orders, submit supply order requests, and replenish supplies as needed.
  • Complete opening and closing procedures for client-facing spaces, ensuring hospitality areas are prepared for daily operations and appropriately secured at the end of the day.
  • Transport documents, supplies, donations, and other materials throughout Palomar to support client services and daily operations.
  • Respond to operational requests from Client Experience Team, direct services staff, and partner agencies to support client services and the overall client experience.
  • Apply flexibility, critical thinking, and creative problem-solving skills to meet the needs of clients and daily operations.
  • Perform other duties as assigned to support the mission and day-to-day operations of Palomar.
Position Requirements :
  • Pursuing or completion of an associate’s or bachelor’s degree in social work, sociology, psychology, or a related field, or two years of relevant experience.
  • Bilingual (English/Spanish) preferred.
  • Ability to treat people with kindness, dignity, respect, and professionalism while providing a high level of hospitality to individuals from diverse backgrounds.
  • Knowledge of best practices related to domestic violence, sexual assault, stalking, human trafficking, and other crimes, including safety planning, trauma response, confidentiality, and victim-centered services (preferred)
  • Familiarity with resources and support services, including emergency shelter, housing programs, counseling, legal services, and other community-based resources.
