In 2028, the Olympic and Paralympic Games are coming to the United States, and Team OKC will play a vital role in that global moment. As the organization responsible for delivering Canoe Slalom and Softball competitions in Oklahoma City, Team OKC will showcase the innovation, hospitality, and spirit of the American people while creating an unforgettable experience for athletes and fans alike.

Delivering the Olympic Games is a team effort—one that requires creativity, collaboration, and exceptional leadership to bring the vision to life.

The Operations Coordinator will provide broad coordination, administrative, project tracking, and operational support across Team OKC. This role will help connect work across the organization by organizing planning materials, tracking actions and deliverables, coordinating meetings and logistics, maintaining documentation, supporting internal and external communications, and helping ensure team members have the coordination support needed to move work forward. The ideal candidate is highly organized, proactive, service-oriented, detail-oriented, and comfortable supporting multiple leaders, work streams, and priorities in a fast-paced, high-visibility environment.

They bring strong follow-through, communication, problem-solving, and coordination skills, with the ability to work collaboratively across Team OKC, LA28 partners, public agencies, vendors, community partners, and Games stakeholders.

Essential Functions
  • Provide coordination and administrative support across Team OKC work streams, functions, and priorities.
  • Support leaders and team members across functional areas by tracking priorities, coordinating schedules, organizing materials, routing information, and helping ensure timely follow-through.
  • Maintain action logs, timelines, dashboards, contact lists, shared files, decision trackers, and other coordination tools to support clear communication and accountability across the division.
  • Coordinate meetings, workshops, briefings, planning sessions, and site visits by preparing agendas, compiling materials, inviting participants, drafting notes, documenting decisions, and tracking next steps.
  • Help connect cross-functional work by gathering inputs from Team OKC roles, organizing information, identifying dependencies, and supporting alignment across related work streams.
  • Prepare reports, presentations, briefing materials, summaries, and stakeholder updates for Team OKC leadership, LA28 partners, public agencies, vendors, and community stakeholders.
  • Assist with partner, vendor, agency, and stakeholder coordination by tracking requests, documenting decisions, monitoring deliverables, and supporting timely communication.
  • Support administrative and operational processes including onboarding coordination, procurement tracking, contract documentation, invoice routing, budget support, travel and logistics coordination, and general team support.
  • Help identify risks, issues, dependencies, and decision points across functional areas, escalating items appropriately and supporting follow-through to resolution.
  • Support inclusive, accessible, sustainable, and community-centered planning practices across Team OKC activities.
Qualifications
  • Bachelor's degree in business administration, public administration, event management, operations, communications, finance, or a related field, or equivalent relevant experience.
  • Two or more years of experience in project coordination, operations coordination, administrative support, event support, public-sector coordination, financial or procurement support, communications support, or a similar role.
  • Experience supporting multiple leaders or work streams, coordinating meetings, tracking deliverables, maintaining records, and preparing materials for varied stakeholders.
  • Excellent written and verbal communication skills with strong organizational, customer-service, and self-management abilities.
  • Ability to travel independently with reliable transportation and a valid driver's license.

Ability to lift and carry up to thirty pounds.
