Job Summary:

The Project Coordinator (PC) is responsible for directing and organizing project activities within a designated geographic area or specific scope of work under the guidance of the Data Center Manager. The PC is tasked with creating Purchase Orders and Sales Orders, maintaining document control, managing databases, and coordinating project administration and communication.

Essential Duties and Responsibilities:
  • Assist managers with drafting and issuing project proposals, budgets, cash flow forecasts, and preliminary schedules.
  • Track the receipt and expiration of all client purchase orders and proactively report outstanding items to the appropriate manager.
  • Maintain complete, accurate vendor files and documentation in accordance with company policies and best practices.
  • Document, implement, and maintain billing procedures for each client account.
  • Research, identify, and resolve Accounts Receivable (A/R) discrepancies.
  • Communicate outstanding client purchase orders to Manager's as needed.
  • Track and manage contemplated change notices and change orders within the project database.
  • Keep managers and team members informed of project progress and any issues that may affect client relationships.
  • Share ideas for improving company processes and contribute to organizational knowledge related to process design, modeling, execution, monitoring, and optimization.
  • Other duties as assigned.
Qualifications and Requirements:
  • Associate's degree (AA) or equivalent from two-year College or technical school; or 1-2 years in a technical field preferred; or equivalent combination of education and experience.
  • Demonstrated skills in database management and record keeping. Proficient in MS Office Word, Outlook, with an emphasis on Excel).
  • Strong problem-solving ability, analytical, and numeracy skills.
  • Effective time management, organizational, and prioritization skills.
  • Strong written and verbal communication.
  • Demonstrated ability to prioritize, commitment to tight deadlines, and problem resolution skills.
  • Excellent judgment and decision-making skills.
  • Evidence of the practice of a high level of confidentiality.
  • Ability to adapt to a changing environment.
  • An interest in telecommunications is preferred.
Physical Demands and Work Environment:
  • Sedentary work (i.e., sitting for long periods of time).
  • Exerting up to 10 pounds of force occasionally and/or a negligible amount of force.
  • Subject to inside environmental conditions.
  • Minimal travel less than 5% for this position as needed to perform job responsibilities.
