Position: HVAC Estimator / Preconstruction Coordinator

Seeking a Commercial HVAC Estimator / Preconstruction Coordinator to take ownership of the estimating and preconstruction for the expanding commercial division. This is a high‑visibility opportunity for an HVAC estimating professional who wants more autonomy, direct access to ownership, and a clear path toward future estimating leadership.

What You’ll Do as the Commercial HVAC Estimator / Preconstruction Coordinator:
  • Own commercial HVAC estimating and preconstruction from bid invitation through turnover
  • Review plans, specifications, addenda, and bid documents
  • Perform detailed takeoffs for HVAC equipment, ductwork, piping, accessories, controls, and related systems
  • Develop labor budgets, production assumptions, material pricing, and equipment costs
  • Obtain and evaluate vendor and subcontractor pricing
  • Identify scope gaps, specification conflicts, coordination issues, and project risks
  • Prepare complete, competitive, and profitable estimates
  • Manage bid calendars, deadlines, and project invitations
  • Prepare and submit proposals and bid packages
  • Attend pre‑bid meetings, site visits, and walkthroughs
  • Communicate directly with General Contractors, vendors, and project stakeholders
  • Follow up on bid status and awarded opportunities
  • Prepare and manage submittals and shop drawings
  • Prepare, submit, and track RFIs
  • Identify, price, and track change orders
  • Participate in project kickoff and turnover meetings
  • Maintain organized project documentation
  • Prepare warranties, O&M manuals, and closeout packages
  • Build and maintain relationships with General Contractors, vendors, and industry partners
  • Help determine which commercial opportunities are the best fit for the company
  • Support the continued growth and development of the commercial HVAC operation
Must‑Haves as the Commercial HVAC Estimator / Preconstruction Coordinator:
  • Commercial HVAC or mechanical estimating experience
  • Strong understanding of commercial HVAC systems and construction
  • Ability to read and interpret plans, specifications, and addenda
  • Hands‑on takeoff experience
  • Experience developing labor, material, equipment, and subcontractor pricing
  • Familiarity with vendor and manufacturer pricing
  • Understanding of RFIs, submittals, change orders, and project closeout
  • Strong organization and attention to detail
  • Strong written and verbal communication skills
  • Comfort working directly with General Contractors and vendors
  • Proficiency with professional estimating or takeoff software
  • Ability to work independently and take ownership of the estimating process
  • Ability to manage multiple bids and project deadlines simultaneously
  • Ability to work onsite in Oklahoma City
