POSITION SUMMARYThe Membership Coordinator is responsible for increasing the number of people and businesses who support FAM as members, at all levels. FAM’s Membership Coordinator leads the effort for new member acquisition, upholds member retention, and ensures that FAM’s membership stewardship efforts are realized through special events, regular communication, and astute and considerate gestures. The Membership Coordinator has a background in development and/or event planning, a passion for FAM’s mission, and is confident and ready to promote FAM’s benefits to prospective members at all events and through direct mail acquisition and e‑solicitations.
DUTIES& RESPONSIBILITIES
- Serve as main contact person for all member inquiries.
- Assist in recruiting and orienting new members; ensure renewals; and upgrade members’ status.
- Actively promote auto‑renew enrollment at point of sale and through follow‑up outreach; track and report auto‑renew conversion rate by tier.
- Project manage all membership events, including FAM’s Gala and American Indian Hall of Fame annual event – approximately four events/year.
- Meticulously manage cross‑department needs, budget, timeline, and vendors associated with events and fundraising campaigns.
- Work closely with other FAM staff to inform members of benefits of membership.
- Assist with member communication activities that drive attendance to FAM events.
- Maintain accurate records in FAM’s CRM, produce regular reports on active members, renewal rates, auto‑renew conversion rate, and event attendance. Collect, analyze, and report member feedback on FAM programs and events to inform programming and retention decisions.
- In coordination with the Institutional Advancement Director, design and implement annual communication and engagement plan to increase retention rate year‑over‑year, and plan and organize the museum’s annual membership campaign, as well as other donation and membership campaigns.
- Communicate regularly with members, prospects, donors, and project partners to produce institutional support.
- Serve as the intake point for donations to the museum’s collection inquiries: direct prospective donors to the curatorial intake form, and communicate decisions.
- Identify cross‑promotional opportunities to promote a cohesive brand.
- Maintain a regular presence at the guest services desk during peak visitation and group tours to promote membership and giving opportunities, answer questions about membership benefits, and provide floor support to Guest Services Associates as needed.
- Develop and deliver membership training for Guest Services Associates and Front‑of‑House staff, including tier knowledge, sales techniques, auto‑renew conversion, and how to handle common member questions at the admissions desk; refresh training at least annually and when program changes occur.
- Process requests donations to other organizations on FAM’s behalf, communicates Sponsorship Committee Decisions, and maintains records of in‑kind and monetary donations given.
