The Accounts Receivable Specialist is responsible for the timely collection of customer payments, reducing Days Sales Outstanding (DSO), and resolving deductions and disputes. This role supports cash flow improvement and customer satisfaction by managing a high-volume account portfolio, analyzing account activity, and collaborating with internal and external stakeholders to ensure accurate and efficient resolution of outstanding balances.
Key Responsibilities- Manage and collect on assigned accounts receivable portfolio (approx. $14 million).
- Contact customers to resolve past due invoices and ensure timely payment.
- Research, reconcile, and resolve customer deductions and disputes (approx. 185 per month).
- Prepare and maintain aging reports and deduction tracking for customers and management.
- Issue credit memos for approved deductions in accordance with company policy.
- Review and release customer orders based on credit status and risk analysis.
- Communicate with internal teams (sales, customer service, distribution) and external stakeholders (customers, banks, freight carriers) to resolve account issues.
- Assist with departmental emails and participate in special projects as assigned.
- Minimum of 2 years of accounts receivable or related experience.
- Proficiency in Microsoft Excel and Word.
- Working knowledge of ERP systems (Oracle preferred).
- Strong organizational and time management skills.
- Professional communication skills (written and verbal).
- Ability to analyze financial data and make sound decisions.
- Ability to work both independently and as part of a team.
- Work is performed in an office environment.
- Primarily sedentary role requiring extended periods of sitting and computer use.
- Must be able to work effectively in a cubicle/office setting with standard office equipment.
