Business Administration, Operations Manager
Compensation: $65,000-$85,000 base salary with up to 10% incentive compensation
OverviewOur client is a growing financial services and wealth management firm with an integrated insurance platform that serves as a key driver of the business. They are seeking a highly proactive operator to serve as the right hand to the CEO and bring structure, execution, and accountability to the day-to-day operations of the firm.
This role is ideal for someone who naturally takes ownership, anticipates needs, and drives initiatives forward without waiting for direction. Over time, this person will have the opportunity to grow into a Practice Manager / Operations leadership seat.
This is a builder role for someone energized by improving systems, creating process, and helping a business run more efficiently and intentionally.
Key Responsibilities CEO Leverage & Business Execution- Own and proactively manage the CEO’s calendar, priorities, and meeting cadence
- Act as a strategic gatekeeper to protect focus and drive execution
- Track key initiatives and ensure follow-through across the firm
- Prepare meeting agendas, materials, and action items
- Oversee and coordinate new client onboarding workflows
- Manage the scheduling and preparation of client review meetings
- Ensure a consistent, high-touch client experience
- Create structure and timelines around client service deliverables
- Create, document, and maintain Standard Operating Procedures (SOPs)
- Identify inefficiencies and implement scalable workflows
- Establish project management and accountability systems
- Improve communication and coordination across the team
- Serve as a central point of accountability for firm priorities and projects
- Help leadership translate vision into execution
- Build infrastructure that supports long-term growth
- Participate in leadership and planning conversations over time
Staff hiring and direct team leadership are not day-one responsibilities but may become part of the role as the firm grows.
What Success Looks Like- The CEO is focused primarily on revenue-generating and strategic activities
- Client service workflows are organized, consistent, and proactive
- Core processes are documented, repeatable, and scalable
- Projects move forward without constant oversight
- The business operates with greater clarity, structure, and accountability
- 4–8+ years in operations, Chief of Staff, senior EA, or practice management support within a financial services, wealth management, or insurance environment
- Strong project management and organizational leadership skills
- Exceptional business writing ability (writing sample required due to compliance environment)
- Process-driven with a builder mindset
- Naturally proactive and comfortable taking ownership
- Motivated by a long-term growth path into operations leadership
