Position Introduction:

At the University of Oklahoma, we change lives. To further this mission, the university is seeking an Administrative Manager to provide strategic leadership in driving operational excellence and ensuring sound financial and administrative stewardship across the department.

This role directly supports the Department of Emergency Medicine by overseeing and managing the financial, operational, and administrative functions of the department and by serving as a key partner to the Department Chair on faculty and administrative matters. This position provides strategic and day-to-day leadership in budget planning, financial analysis, compliance monitoring, faculty affairs support, and administrative operations. The Administrative Manager also ensures fiscal accountability, supports operational efficiency, and serves as a key liaison among the Chair, faculty, staff, and internal and external stakeholders, laying the foundation for sustainable growth, innovation, and long-term impact across the university.

Essential

Duties:
  • Serve as the primary administrative advisor to the Department Chair.
  • Coordinate departmental initiatives, help implement decisions and policies, and manage administrative matters on the Chair's behalf.
  • Support faculty affairs processes, including faculty searches and hiring, appointments, annual evaluations, promotion and tenure, sabbaticals, and workload assignments, and ensure compliance with university policy and the Faculty Handbook.
  • Oversee daily financial operations, including payroll review, financial transaction approvals, account reconciliations, and financial reporting.
  • Develop and monitor departmental form submissions, provide department leadership with regular status updates, and analyses to guide planning.
  • Supervise and support administrative and financial staff by delegating tasks, reviewing work quality, and providing mentorship and training.
  • Conduct operational assessments and recommend improvements to enhance efficiency and effectiveness.
  • Coordinate departmental administrative functions such as space and facilities, records management, and committee support.
Required

Education and Experience:
  • Bachelor's degree.
  • 24 months experience as a manager in an Accounting, Finance, or Business Office.
Equivalence/Substitution:

Will accept 48 months related experience in lieu of the Bachelor's degree for a total of 72 months related experience.
