Job Summary

Acts as first point of contact to all customers. Organizes and facilitates clerical administrative duties of the department. Performs a variety of cross‑functional clerical and patient support duties to include telephone, registration, scheduling and data entry as they relate to the department. Responsible for patient chart maintenance and communication with physicians’ offices as needed.

Essential Functions
  • Contacts, greets and communicates with customers.
  • Answers telephone calls, retrieves and responds to voice mail messages, and directs all information to the appropriate individual.
  • Orients patients to the department with directions and instructions.
  • Receives and transfers incoming calls.
  • Generates reports and retrieves images from the PACS system.
  • Assists in maintaining efficient patient workflow.
  • Maintains all records and ensures dissemination of files to designated parties.
  • Ensures patients are appropriately prepared for their exam.
  • Transports patients when necessary and assists the supervisor, radiologist, or technologist within scope of the position as directed.
Scheduling
  • Schedules procedures, including initial and follow‑up appointments.
  • Tracks no‑shows, documents in the appropriate system, and communicates with physicians when applicable.
  • Provides schedule in directed format to staff as needed.
Registration
  • Provides patient with initial registration information, creates or selects an appropriate electronic record, gathers signatures, and coordinates medical authorization/referral and/or financial responsibility.
  • Completes daily data entry and scanning of patient registration information.
  • Obtains authorization from insurance companies as applicable.
  • Collects co‑pays and payments required for procedures.
  • Submits daily deposits and billing as applicable.
  • Completes patient chart process in accordance with HIPAA and maintains appropriate information.
  • Communicates with insurance carriers and hospital billing for authorization updates.
  • Ensures chart information is forwarded to medical records when applicable.
  • Reviews email daily and provides supervisor with appropriate information and memorandums.
  • Maintains inventory of office supplies/forms and places orders as required.
  • Performs other duties as assigned.
Education
  • High School Diploma or GED – Required.
Experience

1 year in a healthcare related field with medical terminology knowledge, or experience in scheduling and/or registration in a healthcare setting. (Preferred: 2 years in a related role such as Patient Access, Outpatient Medical Imaging, Medical Scheduling, or a closely related field.)

Licenses & Certifications
  • Fingerprint Clearance Card (FPC) – Certificate – Required (within seven working days after employment).
  • Basic Cardiac Life Support (BCLS) – Certification – Preferred.
