Responsibilities

As a Facilities Coordinator, you will provide general administrative support to the Facilities Management team and serve as primary point of contact for facilities requests (office supplies and equipment, shipping & receiving, consumables, maintenance & repairs). This includes monitoring e-mail and calendar activities for the Town Pavilion executive office and providing alerts and reminders. You will schedule and coordinate vendor activities while following guidelines to ensure secure access around the building, assist the Facilities Manager and Director of Facilities in planning and managing office expansion, moves and reconfigurations, maintain accurate seating charts with HR, understand escalation paths and direct follow‑up to ensure timely completion of requests.

You will maintain positive vendor relationships, ensure fair pricing and prompt service, manage inventory and budget, respond to and resolve associate requests promptly via the ticketing system, and build rapport with clients and associates while treating everyone with respect and consideration. All associates must comply with bank policies and regulations, including Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC) requirements.

Minimum Requirements
  • Associate’s degree or equivalent combination of education and related work experience.
  • 1+ year of experience providing administrative support.
  • Effective organizational and time‑management skills.

  • Bachelor’s degree or equivalent combination of education and related work experience.
  • 3+ years of job experience in facilities support.

  • Ability to calculate figures and amounts (discounts, interest, commissions, proportions, percentages, area, circumference, volume) and apply basic algebra and geometry.
  • Ability to prioritize competing demands and manage multiple tasks and projects effectively.
  • Proficiency with Microsoft Office suite (PowerPoint, Word, Excel).
Work Environment

  • Must be willing to work overtime and be on‑call outside of traditional hours, including weekends.

  • Physical tasks may include pushing, pulling, bending, twisting, raising arms overhead, and operating standard office machinery.
  • Must be willing to travel up to 25% of the time.
