Position Title
Administrative Project Coordinator – Olathe Hospital
Position Summary / Career InterestThe Administrative Project Coordinator provides high level support to the assigned team/department by assisting with communication, organization, and project‑management activities. The role may include conducting research, preparing and analyzing statistical reports, as well as project‑based work and program development. The coordinator may also plan, organize, and schedule events as requested.
Responsibilities and Essential Job Functions- Perform professional, clinical, and technical competencies of the assigned unit or department.
- Use advanced MS Office skills to support communication, organization, and project‑management tasks.
- Communicate effectively with various departments to keep stakeholders updated on project changes.
- Support the communication plan prior to system‑wide rollouts.
- Develop and maintain a collaborative team approach with support staff and executives.
- Coordinate and manage the department calendar.
- Handle highly sensitive information with discretion and confidentiality.
- Function independently, make valid judgments, and exhibit initiative.
- Plan, organize, analyze, and coordinate data, information, and activities.
- Complete special projects assigned by manager or director.
- Serve as a liaison to other departments, agencies, and vendors as appropriate.
- Act as a key communicator on behalf of the director or manager, coordinating communications to large audiences.
- Assist with payroll coordination and act as a backup for Kronos managers.
- Oversee department meeting schedules, including room reservations, material preparation, and catering.
- Review, classify, and file correspondence and documents using confidential file systems.
- Maintain shared folder files and keep resource lists current.
- Coordinate maintenance of office equipment and oversee work order requests.
- Represent department management in communications with hospital executive teams, vendors, physicians, staff, and community agencies.
- Maintain files for contracts, invoices, and accounts receivable/payable processing.
Education and Experience
- High School Graduate or GED.
- At least 2 years of experience in an administrative professional role.
Education and Experience
- Associate, Bachelor’s, or Business school certificate, and at least 1 year of experience working with volunteers.
- At least 1 year of event‑planning experience.
- Fluent English – ability to read, write, and speak.
- Proficient in Microsoft Office products.
