Job Overview
As a Facilities Coordinator, you will provide general administrative support to the Facilities Management team and serve as the primary point of contact for facilities requests (office supplies and equipment, shipping & receiving, consumables, maintenance & repairs). Responsibilities include monitoring e‑mail and calendar activities for the Town Pavilion executive office, scheduling and coordinating vendor activities, and assisting the Facilities Manager and Director of Facilities with the planning and management of office expansion projects, moves, and reconfigurations.
You will maintain accurate seating charts, manage inventory and budget, respond to associate requests via the ticketing system, and maintain positive vendor relationships.
- Associate’s degree or equivalent combination of education and related work experience.
- 1+ year of experience providing administrative support.
- Effective organizational and time‑management skills.
- Bachelor’s degree or equivalent combination of education and related work experience.
- 3+ years of experience in facilities support.
- Strong analytical ability to synthesize and communicate complex information.
- Critical thinking and problem‑solving skills in group settings.
- Strong initiative, volunteerism, and willingness to take on additional responsibilities.
- Excellent oral and written communication skills.
- Basic mathematical skills (calculating discounts, percentages, etc.).
- Ability to prioritize competing demands and manage multiple tasks and projects.
- Proficiency with Microsoft Office suite (PowerPoint, Word, Excel).
- Must be able to work at a rapid pace to meet project timelines.
- Willingness to work overtime when necessary.
- Availability to be on‑call outside of traditional business hours, including weekends.
- Standing or sitting for moderate periods (typically no longer than 8 hours).
- Physical ability to push, pull, lift, bend, twist, and operate standard office machinery and computer devices.
- Estimated travel of up to 25% of the time.
