The Kansas Immunization Program is seeking an organized, detail-oriented professional to coordinate and support day-to-day program operations. This position is ideal for someone who is skilled at managing multiple priorities, keeping projects and deadlines on track, developing and maintaining processes and tracking tools, working with Excel, and identifying opportunities for improvement. The Operations Manager will work across program teams, support grant and operational activities, coordinate special projects, and provide backup for vaccine ordering, inventory, and distribution functions.

Public Health, Environment, and Health Care Finance (which includes the State’s Medicaid program, Kan Care). Position Summary:

Program Operations:Coordinates day-to-day operational activities of the Kansas Immunization Program to ensure program requirements, priorities, grant activities, and deliverables remain on track. Monitors deadlines and required activities and coordinates the development, review, and maintenance of SOPs, processes, tracking tools, and other operational documents.
Vaccine Ordering, Inventory Management, and Provider Support:Serves as backup and provides overflow coverage for publicly funded vaccine ordering, inventory management, and distribution activities, including reviewing, processing, and submitting provider vaccine orders through the appropriate systems; uploading shipment information into the Kansas Immunization Information System (KSWebIZ) and CDC vaccine tracking systems; monitoring and reconciling vaccine inventory; and reviewing provider usage and ordering patterns, pre-order requirements, monthly reports, vaccine returns, and wastage.
When providing backup or overflow coverage, identifies discrepancies, unusual ordering activity, significant returns, or other concerns and refers issues to the supervisor or appropriate program staff as needed.
Vaccine Storage and Handling:
Maintains records for digital data loggers (DDLs) issued by the Kansas Immunization Program, including device assignments, expiration dates, replacement schedules, and related provider notifications. Monitors DDL inventory and coordinates the shipment and tracking of replacement…
