We are seeking an experienced, highly organized Client Service Associate to join our growing financial and tax planning firm. This role is best suited for a professional with prior financial services, tax, or advisory office experience who thrives in a fast-paced, detail-driven environment and excels at juggling multiple priorities with precision.
This is a critical operations and client-facing role. Reporting directly to the Financial Operations Manager, you will support advisors, tax professionals, and clients by ensuring account administration, service workflows, and new business processes are executed accurately and efficiently. Your work will directly impact the client experience and the firm’s ability to scale with excellence.

Key Responsibilities- Serve as a primary point of contact for existing financial and tax clients via phone, email, and digital platforms
- Respond to service requests with professionalism, urgency, and attention to detail
- Support financial advisors and tax professionals with ongoing administrative service needs
- Maintain accurate, organized, and compliant client records and documentation
- Process new account applications, transfers, and related documentation with a high level of accuracy
- Assist with onboarding new clients by coordinating paperwork, account setup, and follow-up items
- Support internal workflows to ensure financial planning and tax services are delivered seamlessly
- Partner closely with the Financial Operations Manager on new business implementation and service execution
- Coordinate across departments to keep client requests and account activity moving Manage multiple workflows simultaneously while meeting deadlines and compliance standards
- Identify opportunities to improve administrative systems, processes, and firm efficiency
- Ensure sensitive financial and tax information is handled with confidentiality and professionalism
- Assist with planning and execution of client events including dinner seminars, educational workshops, client appreciation events, and other engagements
- Support client communication campaigns, outreach initiatives, and engagement efforts
- Contribute ideas to enhance client satisfaction, retention, and overall firm experience
- 2+ years of experience in financial services, tax, wealth management, accounting, or professional services administration preferred
- Strong organizational and multitasking skills in a deadline-driven environment
- Proven ability to manage detailed administrative processes with minimal oversight
- Strong client-facing communication skills with the ability to build trust, manage expectations, and deliver a high-touch service experience
- High level of emotional intelligence and professionalism when handling client inquiries, concerns, and time-sensitive requests
- Comfort working with high-net-worth individuals
- Proactive, solution-oriented mindset with a strong sense of ownership
- Experience with CRM systems, custodial platforms, or financial office software is a plus
