Job Overview
The Order Documentation Specialist is responsible for ensuring the accurate and timely processing, and shipping of customer orders. This role plays a key part in maintaining high levels of customer satisfaction by coordinating inventory availability, verifying order details, and working closely with warehouse, logistics, and customer service teams. The ideal candidate is detail-oriented, organized, and able to manage multiple tasks in a fast-paced environment while maintaining accuracy and efficiency throughout the order fulfillment process.
Key Responsibilities
- Creation of shipping documents, including Bills of Lading (BOLs) and parcel labels (UPS/Fed Ex)
- Coordination of outbound shipments (LTL)
EDI & Customer Transactions
- Preparation and transmission of Advance Ship Notices (ASNs) and Invoices via EDI
- Familiarity with EDI transactions (850, 856, 810)
Tools & Technology
- Proficient in ERP/WMS/Quickbooks platforms and shipping software
- Experience with carrier portals (UPS, Fed Ex)
- Strong computer and data entry skills
Qualifications
- High school diploma or GED required.
- 1–3 years of experience in order fulfillment, shipping, logistics, warehouse operations, or a similar role.
- Experience working with order management systems and shipping platforms.
Skills
- Experience in creating shipping labels and documentation.
- Clear communication with customer service, warehouse, and logistics teams.
- Professional email and written communication skills.
- Prioritizing rush or high-value order.
- Managing multiple tasks in a fast-paced environment.
- Attention to detail.
- Dependability and accountability.
- Adaptability to order volumes or systems.
