About This Role

This position supports the overall mission and vision of the Child Care Action Council (CCAC). Primary duties include processing semi-monthly payroll and entering accounts payable and other accounting transactions into the accounting records. This position also provides office administration and support functions for the organization.

This position supports the overall mission and vision of the Child Care Action Council (CCAC). Primary duties include processing semi-monthly payroll and entering accounts payable and other accounting transactions into the accounting records. This position also provides office administration and support functions for the organization.

This position is typically assigned a workstation in an office environment without expectation of privacy and is subject to moderate noise levels.

Occasional use of personal vehicle for travel may be required. All required and approved business mileage will be reimbursed in accordance with CCAC policies.

What You'll Do PAYROLL
  • Monitoring employee hours and verify timecards are approved at the end of the pay period.
  • Monitor any overtime and follow-up with supervisors if you have not received a prior approval form.
  • Verify all approved payrates, deductions and benefit changes are made in the employees’ records.
  • Process and export the file from company mileage to process in payroll.
  • Close the payroll and process payroll.
  • Record semi-monthly payroll and related benefits and taxes into Quick Books via journal entry.
Finance & Accounting
  • Code and enter invoices into Quick Books for payment.
  • Process weekly check run.
  • Code and process monthly mileage and other staff reimbursements for payment.
  • Enter credit card transactions into Quick Books and perform month-end credit card account reconciliations.
  • Inventory equipment and materials.
  • Maintain list of personal property and file personal property taxes.
  • Purchase equipment as needed.
  • Enter doner/grant invoices into Quick Books.
  • Make bank deposits.
  • Assist Director of Finance & Admin Operations with other duties as assigned.
Office Support
  • Facilitate scheduling activities and support the Executive Director, Director of Finance & Admin Operations, and program staff with project priorities.
  • Facilitate travel arrangements for CCAC staff training as needed.
  • Contact maintenance services as needed.
  • Basic word processing, saving and or filing, editing, spell checking, and printing to produce memos and letters.
  • Operate office machines, such as photocopiers and scanners, voicemail systems and personal computers.
  • Participate in marketing and communication activities.
  • Provide administrative support for agency development functions.
  • Other duties as assigned
Requirements

Minimum requirements include three years of relevant experience; in bookkeeping and/or payroll processing.

  • Outstanding customer service skills.
  • Basic computer skills including E-mail, Excel, Word.
  • Ability to operate phone messaging, copy machines, fax machines.
  • Ability to manage multiple projects concurrently and meet deadlines.
  • Excellent written and verbal communication skills.
  • Excellent organizing skills with a keen eye for detail.
  • Ability to maintain timely documentation and data entry into an electronic data system.
  • Experience organizing large amounts of data information.
  • Demonstrated commitment to cultural relevancy, diversity and inclusion.
  • Ability to prioritize work and manage time effectively.
  • Experience working both in a team setting and independently.
  • Experience meeting weekly and monthly project goals.
  • Must have a current, valid driver’s license.
  • Must be able to pass a criminal background check.

Although position requires 3 years of relevant experience we will consider relevant college degree/courses in lieu of up to 2 years of relevant work experience.
