The salary for this position is: $5,147- $6,847 monthly.

Position Overview

Thurston County Public Health & Social Services (PHSS) is recruiting an in‑person Administrative Supervisor for our Vital Records and Administrative Services Team. The role requires a positive, detail‑oriented, well‑organized team leader who will guide and support a dedicated team, coordinate day‑to‑day operations, develop efficient work plans, and manage team schedules to ensure top‑quality customer service.

Key Responsibilities
  • Supervise a team of 3 members: assign and approve work, manage schedules, review and approve leave requests and timecards.
  • Set team performance expectations and standards, conduct performance evaluations, provide training and coaching, and recommend disciplinary actions if needed.
  • Provide Vital Records task execution and oversight (death registration, birth & death certificate issuance) and supervise accounts, billing, data compilation, monthly reporting, and on‑call after‑hours/weekend/holiday phone responsibilities.
  • Deliver front‑counter Vital Records and administrative support to internal and external customers.
  • Assist in creating, reviewing, and maintaining department‑wide policies in coordination with leadership.
  • Develop department‑wide archiving processes.
  • Manage building‑related tasks: surplus inventory disposition, building maintenance work orders, and conference‑room coordination.
  • Provide notary services to internal staff.
  • Perform other duties as required, including 24/7 response during public‑health emergencies.
Working Conditions
  • Work environment: quiet office setting, Olympia, Washington.
  • Schedule:

    Monday–Friday, 8:00 a.m.–5:00 p.m. – fully in‑person; telework/hybrid not available.
  • Travel: occasional travel for meetings or trainings.
  • Customer interactions: daily interaction with Thurston County staff and the public.

Qualifications
  • High School Diploma or GED and at least one year of college‑level coursework in public administration, business administration, computers, and accounting or closely related topics.
  • Two years of senior‑level office support experience, including budgeting, purchasing, research, and policy recommendation, with at least one year of supervisory experience.
  • High level of PC proficiency with word processing and spreadsheet programs.
Desired Skills
  • At least three years supervising a team in an office environment.
  • Advanced experience with Microsoft Office suite (SharePoint, Excel, Teams, etc.).
  • Experience in high‑level administrative functions such as travel desk support, vehicle oversight, supply ordering, and credit card maintenance.
  • Demonstrated ability to support a customer‑service oriented team.
