Position SummaryWe are looking for an Administrative Assistant to support both the Accounting and Marketing Departments with administrative tasks, working approximately 20 hours per week in each department.
AccountingDuties & Responsibilities
- Full‑cycle Accounts Payable (AP) processing, including receive and code invoices accurately and timely, maintain and reconcile vendor records, and issue payments via checks and ACHs.
- Assist with daily balancing and reconciliation of internal Association accounts, including data entry for bank checks, the Federal Reserve Bank, the Federal Home Loan Bank, and more.
- Enter transactions for fixed assets and prepaid expenses.
- Maintain the Corporate Credit Card process, including report collection and monthly reconciliation.
- Support recurring account reconciliations as part of the General Ledger (GL) certification process.
- Perform research and gather documentation as requested.
Duties & Responsibilities
- Assist with the department's budget, credit card reconciliation, filing, check requests, letter correspondence, vendor management, inventory control, and fulfillment of material requests.
- Support various marketing initiatives including annual fee survey, quarterly website audit, competitive analysis and trend reports, weekly Rate Committee reports and more.
- Manage rate change process, including communication and website updates.
- Work with Data Analytics team to request reports for marketing mailings and initiatives.
- Assist with prospect research, data collection, reporting and mailings.
- Promote Marketing and Association initiatives, policies, programs, and events to build community and customer relationships and loyalty.
- Marketing research and other clerical duties as needed.
Duties & Responsibilities
- Follow all Association policies, procedures, and internal controls.
- Perform other duties as assigned.
- Strong attention to detail and accuracy.
- Good interpersonal communication skills.
- Stay organized and adapt to a changing workload.
- Proficiency with Microsoft Office Suite, especially Excel.
- Exercise customer confidentiality and discretionary judgment.
- Read, write, speak, and understand English well.
- High school diploma, GED, or equivalent skills.
- Banking experience preferred.
- Accounting or Accounts Payable experience preferred.
- Must be bondable.
Duties are performed in usual office conditions. Ability to operate standard office equipment including personal computer, standard keyboard, 10‑key calculator and work a standard shift with repetitive wrist and hand movements. Ability to talk and hear. Ability to stand or sit for extended periods of time. Occasionally lift, move or carry items up to 15 lbs. Ability to concentrate on the matter at hand, under sometimes distracting work conditions.
Requires manual dexterity and handling ability. Use hands and arms to finger, handle, grab and reach. Specific vision abilities including close vision and the ability to adjust focus. Work may involve eye strain due to constant use of computer screens.
