OFBE Administrative Assistant 2 (AA2)
Recruitment #2026-5-A377. Full-time, Permanent, Represented position (WPEA).
Location:
Natural Resources Building, Olympia, WA.
Salary: $3,239.00 - $4,299.00 Monthly.

Responsibilities- Accounts Receivable and Cash Receipting
- Process all payments received at the NRB, including identification, verification, and endorsement of cash, checks, EFT, and other payment methods.
- Record payments in Natur
E and reconcile the daily receivables journal. - Create Sales Orders for new receivables in Natur
E. - Manage remittance work, copy and forward to AR, prepare and mail warrants.
- Assist the Accounts Payable team
- Retrieve and print vendor remittance advice and warrant register reports.
- Compare payment documents with warrants, EFT, wire transfers, and IAP information; report discrepancies.
- Make copies of documentation for the payment batch as required.
- File payment batches, journal vouchers, and supporting documents per Finance methods.
- Mail warrants and backup documentation; back up AP data entry as needed.
- Assist the Finance Management Team
- Coordinate OFBE events and training sessions.
- Provide administrative support, research, and data assembly for special projects.
- Follow policies, procedures, and methods for senior finance staff.
- Keep the Finance Manager informed of significant items; ensure deadlines and customer service needs are met.
- Serve as point of contact for OFBE, delivering customer service to stakeholders.
- Financial Records Management
- Pull and log A/P documents per requests, coordinate scanning, copying, and refile.
- Assist AA4 with archiving finance documents and pulling records requests.
- Agency Mail Distribution
- Receive, sort, and distribute all DNR mail passing through NRB, including Fed Ex and UPS deliveries.
- Prepare outgoing mail and evaluate USPS and CMS requirements.
- Maintain mail center supplies and prepare bulk mailing envelopes.
- Report CMS issues to AA4.
- Perform other assigned duties as needed.
- Two years of experience providing customer service, clerical, or administrative support.
- Experience handling multiple assignments, competing priorities, and urgent situations in a fast‑paced environment while producing accurate, timely work.
- Familiarity with Microsoft Office or Microsoft 365 suite (Outlook, Word, Excel, Teams, PowerPoint).
- Providing excellent customer service.
