Overview
Administrative Assistant 4 position in the Office of the Insurance Commissioner (OIC) within the Company Supervision Division, based in Tumwater, Washington.
Responsibilities- Principal assistant and trusted advisor to the Deputy Commissioner, managing complex administrative operations.
- Coordinate executive priorities, calendars, meetings, communications, and special projects.
- Research, analyze, and interpret information, policies, laws, and regulations to support executive decision‑making.
- Prepare and review reports, correspondence, presentations, performance measures, and fiscal documents.
- Act as liaison between executive leadership, agency staff, external stakeholders, and partner organizations.
- Lead and coordinate division administrative functions including records management, public record responses, travel coordination, budget support, and continuity planning.
- Supervise and mentor administrative staff, assign work, manage performance, and ensure quality customer service.
- Oversee administrative processes and records systems for accuracy, efficiency, and compliance.
- Serve as subject‑matter expert on operational systems and processes, partnering with IT and business teams for improvements.
- Lead or participate in agency‑wide projects, initiatives, and change‑management efforts.
- Identify opportunities to improve processes, operational effectiveness, and customer service.
- Provide executive‑level administrative and operational support on high‑priority assignments.
- High school diploma or equivalent.
- Four years of progressively responsible clerical, office, or administrative experience in a project, program, or operational environment (including interpreting laws, collecting and analyzing data, scheduling meetings, evaluating projects, ensuring compliance).
- One year of experience in a supervisory, mentoring, or training capacity.
- Intermediate skill level in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Basic skills with Adobe Acrobat DC.
- Typing speed of at least 40 words per minute.
- Degree in public administration, business administration, or related field (or equivalent experience). Proof of degree may be required before employment.
- Prior supervisory experience of support staff.
- Experience researching and applying complex rules and regulations to ensure compliance with state laws.
- Bachelor’s degree in public administration, business administration, or closely allied field.
- Two years’ experience supporting an executive.
- Experience with Drupal, NAIC tools (I‑Site, Snowflake, Thought Spot).
- Experience with Washington state systems including ORCA and SIMBA.
Monthly salary range: $4,542 – $6,107.
