TITLE: OFFICE PROFESSIONAL 4 - TOPA
Position included: HS ASB Secretary; HS Athletic Secretary;
Transportation Secretary, MS Registrar
QUALIFICATIONS: High School diploma or equivalent;
Associate of Arts degree or 5 years of successful job-related experience preferred;
Criminal Justice Fingerprint Clearance. First Aid Certification.
POSITION SUMMARY:Provides secretarial and office management support for a department, school or major school activity. Responsibilities may include managing distinct programs and events, middle school registrar and high school ASB and/or HS Athletics. Essential functions may vary at the elementary, middle, high and district levels.
ESSENTIAL FUNCTIONS:
- Greets visitors, staff and students and provides direction, guidance and assistance
- Composes documents for the purpose of communicating information
- Prepares and processes written materials for the purpose of conveying information regarding school and/or district activities and procedures
- Directs, supervises and manages students as needed
- Proficiently operates within the school database system, including data gathering, sorting and analysis
- Enters and updates computer records
- Evaluates situations or emergencies for the purpose of taking appropriate actions and/or directing to the appropriate personnel for resolution
- Maintains calendars and schedules of appointments, activities, facility use and other meetings as required
- May assist specialized staff by providing support services, including budget
- Assists in the preparation of the general/ASB building budgets, maintains accurate records, processes purchase orders
- Maintains funds and electronic records for fiscal and other reporting including, but not limited to, reconciliation of general/ASB petty cash funds, reconciliation of the imprest checking account, procurement, daily bank deposits collecting of student's fees, audit reports
- Assists in the preparation of the master schedule; prepare all materials for scheduling
- Prepares and maintains required student records including, but not limited to, registration of new students, enrollment, withdrawal, inter-zone and inter-district transfers, student information, schedule changes, free and reduced lunch, truancy, disciplinary, grade changes, emergency information, immunizations, etc.
- Maintains day to day office operations and orders supplies as needed
- Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions
- Establishes and maintains positive working relationships with community members, staff and students
- May provide basic first aid for students for the purpose of meeting their immediate health care needs, as needed
- Performs other building generated duties as assigned
- Must be able to perform the essential functions of the job with or without reasonable accommodation
- High level of expertise with computer applications including Excel and MS Word
- Command of English in both written and verbal form; use correct spelling, grammar and punctuation
- Thorough knowledge of district policies, state and federal laws, rules and regulations
- Competence in basic financial and statistical record keeping
- Conduct all job responsibilities independently with a high degree of confidentiality
- Ability to work effectively with frequent interruptions and changing priorities while consistently producing accurate work
- Interact positively with community members, staff and students
- Ability to sit for prolonged periods, work independently, understand and carry out oral and written instructions
- Significant physical abilities include reaching, handling, digital dexterity; talking and hearing conversation; near and distant visual acuity/visual accommodation
SCHEDULE: Tumwater School District Calendar, (school year, plus additional days as required) exclusive of voluntary staff orientation program prior to starting date
