About The Position

The Office of the Insurance Commissioner (OIC) seeks an Administrative Assistant 4 to serve as the principal assistant to the Deputy Commissioner of the Company Supervision Division. The position is based out of the Tumwater Office.

Duties

The duties of the position include but are not limited to:

  • Serve as the principal assistant and trusted advisor to the Deputy Commissioner, managing complex administrative operations and acting with delegated authority.
  • Coordinate executive priorities, calendars, meetings, communications, and special projects.
  • Research, analyze, and interpret information, policies, laws and regulations to support executive decision‑making.
  • Prepare, review, and coordinate reports, correspondence, presentations, performance measures, fiscal documents and other business‑critical materials.
  • Serve as a key liaison among executive leadership, agency staff, external stakeholders and partner organizations.
  • Lead and coordinate division administrative functions including records management, public records responses, travel coordination, budget support and continuity planning.
  • Supervise and mentor administrative staff, assign work, manage performance, support professional development and ensure quality customer service.
  • Provide oversight of division administrative processes and records systems to ensure accuracy, efficiency, accountability and compliance.
  • Serve as subject matter expert and business lead for operational systems and processes, partnering with IT and business teams.
  • Lead or participate in agency‑wide projects and initiatives that impact Company Supervision operations and regulatory programs.
  • Identify opportunities to improve business processes, operational effectiveness, and customer service.
  • Provide executive‑level administrative and operational support on high‑priority assignments and other duties as assigned.
Qualifications

Required qualifications:

  • High school diploma or equivalent.
  • Four years of progressively responsible clerical, office or administrative experience in a project, program or operational environment, OR one year as an Administrative Assistant 3, OR two years as an Administrative Assistant 2.
  • One year of experience in a lead, supervisory, mentoring or training capacity.
  • Intermediate skill level in the Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
  • Basic skills with Adobe Acrobat DC.
  • Ability to accurately type at least 40 words per minute.
  • A degree in public administration, business administration or a related field (can be substituted with equivalent experience; credential evaluation may be required for foreign degrees).

Preferred qualifications:

  • Prior supervisory experience of support staff.
  • Experience researching and applying complex rules and regulations to ensure compliance with RCW, WACs and policies.
  • A bachelor’s degree in public administration, business administration or closely allied field.
  • Two years of experience supporting an executive in a professional office environment.
  • Experience working with web programs such as Drupal.
  • Experience with NAIC tools such as I‑Site, Snowflake and Thought Spot.
  • Experience with Washington state systems including ORCA and SIMBA.

Salary

This Washington General Service position has a monthly salary range of $4,542 – $6,107.
