Senior Office Assistant

Salary: $4,033.00 - $5,364.00 per month.

Job Description

Thurston County Public Works is recruiting for a Senior Office Assistant to join our dynamic, energetic, and innovative Administrative Services team. The successful candidate will provide high–quality customer service to internal and external customers, advise the public regarding regulations and procedures, utilize computer and related programs to complete complex projects, and assist in the development of department/office procedures.

Essential Functions
  • Compose letters and memos and independently prepare, format, and coordinate complex packages such as agenda items, contracts, change orders, bid documents.
  • Handle inquiries and requests from residents; assist in resolving complaints or requests requiring excellent customer service skills.
  • Provide administrative support during various emergency situations.
  • Maintain a wide variety of complex records, such as preparing technical, statistical, and narrative reports related to the operation of the work unit.
  • Perform a variety of coordinating activities for supervisor/manager; relay and obtain information from other County departments and outside agencies.
  • Arrange meetings, itineraries, and calendars.
  • Utilize a variety of software, including desktop publishing packages, to create documents, brochures, information packages, educational materials, presentation items, and various other products.
  • Coordinate and perform a variety of administrative support functions for assigned divisions, including Solid Waste and Water Resources.
  • Assist with recruitment and onboarding activities, including communicating with applicants, scheduling interviews, and maintaining recruitment records.
Working Conditions
  • Work Environment:
    Duties are performed in office settings at both the Tilley Campus and the Waste and Recovery Center (WARC) in Olympia, Washington. Regular on‑site attendance at both locations is required.
  • Schedule:

    Monday – Friday, 8:00 a.m. – 5:00 p.m.
  • Travel Requirement:
    Occasional travel to attend meetings or trainings.
  • Customer Interactions:
    Daily interactions via phone, in‑person, and video with Thurston County staff and the public.
Qualifications
  • High School Diploma or GED.
  • Two years experience in an office environment with responsibility for performing a full range of senior level office support tasks, including providing information and assistance to the general public.
  • Ability to type at a minimum of 55 wpm.
  • Ability to fully utilize the personal computer and related software programs.

  • Ability to interpret and apply program information in making work decisions or supplying information to others.
  • Ability to maintain complex specialized records and prepare narrative or statistical reports.

  • Ability to communicate effectively, orally and in writing.
