Court Program Assistant

Make a Difference in the Court System!

The Behavioral Health team at the Administrative Office of the Courts is seeking a Court Program Assistant to provide a broad range of administrative support.

This position supports the work of a tight-knit team of skilled and driven policy analysts and program coordinators who support behavioral health and therapeutic court projects. The person in this role is proactive and takes independent initiative and responsibility for providing on-going assistance and coordination to support program goals. Senior staff provide direction for specific assignments and review work periodically.

This position provides administrative and programmatic assistance to AOC staff in planning, coordinating, and implementing many meetings, events, and programs. It requires the ability to learn and use a variety of AOC policies, procedures, and forms. The person in this position must build and maintain good working relationships with AOC service sections (e.g., financial services, travel, contracts, web services, facilities, print and mail services) to ensure the success of team projects.

Key knowledge, skills, and abilities for this position include organization, communication and writing skills, prioritization, multitasking, time management and proficiency in managing virtual meeting platforms, M365, Microsoft Word, SharePoint, Outlook, and Excel. An understanding of and interest in improving outcomes for individuals in the criminal justice system who are living with behavioral health diagnoses is plus.

WASHINGTON STATE RESIDENCY AND TELEWORK INFORMATION

AOC requires employees to reside in Washington State. Any exceptions must be approved. If you are invited to an interview and currently reside outside of Washington State, seek more information about residency requirements from the AOC hiring manager for this recruitment.

This position requires you to be in the office at least two (2) days per week.

Duties

Some of the duties you will perform are:

  • Supports senior AOC staff in developing, managing, coordinating, and promoting behavioral health programs related to therapeutic courts, Sequential Intercept Model (SIM), and collaboration with executive branch agencies at the intersection of behavioral health and criminal justice.
  • Maintains information about behavioral health and therapeutic courts on program webpages.
  • Assists with communication and outreach to court stakeholders and the public about the work of the Behavioral Health Program. This includes updating and maintaining multiple listservs for each group.
  • May conduct research and information gathering and prepare reports or memos.
  • Helps develop and streamline internal business processes to allow for maximum effectiveness and efficiency of court program implementation.
  • Coordinates submission and review of invoices and travel expense vouchers for team projects and events. May provide monitoring and oversight of program budgets.
  • Assists in developing and implementing program policies, standards, guidelines, and expectations; assists in monitoring compliance of program activities with internal AOC program policies, standards, and guidelines.
  • Coordinates logistics for events, meetings, and trainings. Specific tasks include scheduling (virtual and in-person), managing registration, securing meeting facilities, applying for continuing education credits, arranging catering and other vendors, hosting the technology for virtual and hybrid meetings, preparing meeting materials, and taking attendance and meeting minutes.
  • Supports senior staff in responding to requests from executive branch and other behavioral health, stakeholders and other partners, and the public.
