Position Goal
The Human Resources Classified Contracts Coordinator reports to the Human Resources Director and serves current and future employees of the Olympia School District. This position performs a variety of functions including salary placement and benefit eligibility for classified employees, database management, maintain excellent customer service and public relations with all served by the Human Resources office and must work well in a fast-paced team environment.

This 8.0 hpd continuing position works Monday - Friday, from 8:00 am - 4:30 pm, 260 days per year.

Final benefit eligibility to be determined at time of hire. Employees are eligible to enroll in the Department of Retirement Services (DRS) SERS plan (classified employees) or TERS plan (certificated employees), as well as the DRS Deferred Compensation Program.
Employees will receive vacation leave, paid holidays and additional compensation beyond their base salary as outlined in their Collective Bargaining Agreement (CBA).

Essential Job Functions- Format, input and generate usable data via District’s HR management system
- Generate and submit to payroll actions regarding classified staff members such as salary placement and benefit eligibility, assignment changes, new hires, resignation, retirements, and leaves of absence
- Ongoing maintenance of the District’s HR/Fiscal Management system that stores personal, financial, and assignment data on employees that allows the district to use the data for record keeping, reporting, payroll, budgeting, etc.
- Prepare database for annual budget process, create budget plans, calendars, salary schedules and annual roll of data to budget plan
- Issue letters of reasonable assurance to less than full time classified employees and track the return of these notices to the HR office
- Conducts new hire onboarding, monitor receipt of all new employee required paperwork
- Understand, interpret, communicate and apply rules and procedures of collective bargaining agreement, Board policy, state and federal laws
- Work with individual and employee groups to ensure successful hiring processes
- Work to resolve issues regarding pay discrepancies or other employment concerns
- Respond to inquiries of employees, public and school district community to provide information and/or direction
- Evaluate situations for the purpose of taking appropriate actions
- Manage FMLA determinations and notifications for classified employees
- Create and maintain employee files
- Track and upload Washington State FCS and Para educator Certificate completion for salary placement
- Compile completion data for FCS and Para educator Certification for annual grant reimbursement
- Maintain evaluation list and notifications
- Act as resource personnel and liaison to principals, athletic directors, supervisors, and staff members to ensure compliance with Collective Bargaining Agreements
- Review applicant disclosure and qualifications for interview clearance
- Prepare correspondence, documents and reports for school board, administrators, human resources and/or payroll staff and individual employees as needed using current office technology
- Provides information and supports the District in Collective Bargaining
- Coordinate student teacher placements
- Process overload claims for certificated staff
- Serves as backup receptionist in the Human Resources Office. Direct employees and members of the public to appropriate office or assist them as needed
