The Washington State Office of Superintendent of Public Instruction (OSPI) seeks to fill a Legal Assistant 3 position. This role may support the Chief Legal Officer and the Deputy Legal Officer, as well as programs including Equity and Civil Rights, Office of Professional Practices, and Public Records and Records Management. The position will be the primary point of contact for tracking work and deadlines within the division and will assist in responding to correspondence.

These tasks support an increased workload arising from litigation and federal actions and aim to desilo and flexibly adapt the division to new legal needs.

Key Responsibilities

Legal Support

Tasks include:

  • Perform legal, technical, and administrative work requiring independent judgement and action, including but not limited to:
  • Monitor and update cases in stages of the investigative and legal process;
  • Develop and maintain a consistent, centralized, and organized system for tracking legal tasks;
  • Monitor, track, and update the status of legal tasks and cases, including due processes and complaints;
  • Track and ensure deadlines are adhered to;
  • Fact-check evidence in legal documents for accuracy.
  • Proofread and edit legal documents for content and grammar;
  • Transmit legal documents to other parties and file documents with administrative tribunals or courts, as directed by the Chief or Deputy Legal Officer;
  • Remain flexible to adjust caseload and timelines as new requests are assigned and urgent matters arise;
  • Analyze data to seek standardization in current workflow processes to gain efficiency in current disclosure processes;
  • Prepare memoranda, recommendations, bulletins, and other reports to support the department and agency.
Process and Respond to Correspondence
  • Timely receive and scan correspondence, maintain records, and track responses;
  • Draft, proofread, finalize, and transmit correspondence as directed by the Chief or Deputy Legal Officers.
Public Records and Records Management Support
  • Provide support for public records requests as directed by the Chief or Deputy Legal Officer; tasks may include:
  • Assist with compliance with paper/electronic retention and archiving requirements;
  • Track, route, and verify fulfillment of public records requests;
  • Provide customer service to the public; respond to questions about availability of public records and requesting records;
  • Communicate with records requestors; clarify requests, availability, timelines, etc.
  • Assist agency-wide staff in identifying records responsive to requests;
  • Proactively identify requests requiring clarification and communicate effectively with staff and the public to facilitate clarification;
  • Research agency records (current and historical) to locate and compile requested records and respond to disclosure requests in compliance with the PRA.
Required Qualifications
  • High School diploma or equivalent and four years of experience in a legal environment in support of an attorney, administrative law judge(s), industrial insurance appeals judge(s), review judge(s), or equivalent OR
  • One year as a Legal Assistant 2 OR
  • A two-year degree in Legal Secretary Studies, Paralegal Studies or related field plus two years of legal office experience OR
  • A combination of five years of college education and/or relevant experience OR
  • A bachelor’s degree may substitute for the Legal Secretary or Paralegal degree (plus two years of legal office experience).
  • The ability to work independently and in a team setting;
  • Strong skills in technology for drafting, proofreading, data collection, and communication;

    Candidates may be required to demonstrate skills in keyboarding, filing, proofreading, grammar, spelling, and use of office equipment via agency skills testing.
